The postholder will be required to have good typing, organisational skills and willingness to learn. All applicants should possess good levels of communication skills and understand professional behaviour and patient care. Good IT skills and experience working within an admin role are also essential. Previous experience of work within healthcare and with similar IT systems is advantageous but not essential. The role is interesting and varied where candidates require good communication skills with the ability to interact professionally with patients, relatives and staff at varying levels, both by telephone, email and in person. Advert The successful applicant will be required to cover a range of secretarial duties including typing of radiology reports, using the radiology computer system (CRIS), dealing with patient/GP queries, actioning urgent results and liaising with other departments as required. The post holder will also be required to take minutes and act as meeting secretary for a variety of radiology based meetings and carry out other admin duties as required. A degree of flexibility with working days/hours is essential in order to meet the needs of the service. Deal efficiently and effectively with all written, telephone and face to face enquiries from patients, all levels of medical and nursing staff, GPs, Social Services and other health professionals and non-clinical staff. Delivering appropriate information to the relevant team member/clinician for action, or deal with enquiries under the guidance of the Senior Medical Administrator for the team, providing confidential medical/clinical information as required. 2. Provide routine and non-routine information and non-clinical advice, resolving problems where possible; directing and prioritising queries as appropriate, to ensure efficiency and effectiveness of service delivery. 3. Deal with concerned patients/relatives with tact, patience, and discretion, especially when conveying sensitive information. 4. Attend to all communications, for example; emails and investigation results on a daily basis; prioritising, actioning and/or escalating as required. 5. Bring to the attention of the appropriate Referrer / team member any instructions as directed by the Reporting clinician. 6. faster diagnostic standard and urgent imaging to be monitored daily, liaising with the appropriate clinicians to get studies reported within the national guidance times. Ensuring this is followed up and escalated where necessary. 7. Requesting referrals from Radiologists with regard to patients requiring CT scan following Chest XR outcome – ensuring these are completed the same day and actioned Vetting. 8. Allocating to the escalation folders and monitoring the studies within these for progression. This requires liaison with reporting radiologists and radiographers to resolve reporting delays or issues. Responsible for escalation when progression does not happen 9. Monitoring exam urgencies against national reporting targets and escalating where breaches are imminent to appropriate Reporting Clinicians. Escalating concerns to the reporting coordinator 10. Check unverified report lists and consulting with reporting clinicians to ensure all reports are finalized in a timely fashion and escalating concerns where this has not occurred. 11. Adding dates and images to the appropriate MDT folders on PACS in time for the weekly meetings. 12. Raising any concerns with regards to reporting turnaround times and processes to the Reporting coordinator lead. 13. Promptly action clinical investigations, results and outcomes following correct processes and pathways as agreed 14. Support meetings with agenda creation and minute taking as necessary. 15. Provide accurate and confidential information to assist with continued data entry, strictly adherent to Caldicott and Data Protection Act and retrieval of patient information via Trust patient systems and other departmental computer software programmes. 16. Provide secretarial support to clinicians as required, acting upon clinician’s requests, either accurately passing on information to another team member or carrying out any required tasks and, if necessary, under the guidance of the Senior Medical Administrator for the team. 17. Provide flexible cover and support to colleagues to ensure that the department is working optimally to best meet the needs of the service. This role has a combination of onsite and home working but there is not an option for all home working due to necessary onsite presence. 18. Demonstrates and assists with induction, training and competency completion for of new staff within the team. 19. To support new consultants with their induction tasks when they first arrive to work at the JPUH. Assisting lead consultant to keep the information for new doctors up to date and following up on documentation to ensure its signed off and recorded within QPulse. 20. Monitoring and documenting Consultants annual leave, toil and study leave. 21. Consultant sickness reporting. 22. Actioning Consultant out of hour reporting claims forms and locum Consultant time sheets. 23. Typing Bone Density reports on to the CRIS system and assisting Breast Imaging report typing where required. 24. Logging private patient request and documentation to ensure payment is received for the procedures.
