Position Overview:
Provide operational and financial support to the Brand Image team in London through administrative functions and workstreams, aligning with departmental goals and the Brand Image roadmap.
Key Responsibilities:
1. Seasonal Planning & Coordination:
o Participate in seasonal planning meetings to understand project needs.
o Manage calendars for window and interior installations based on deliveries and priorities.
o Coordinate logistics and external vendors for installations.
o Support vendor, sample, and prop sourcing, and manage communications.
2. Financial Management:
o Manage seasonal budgets for interiors, windows, and team T&E.
o Maintain financial trackers and process POs and invoices timely.
o Participate in financial meetings to update on needs and expenditures, flag overspending, and support forecasting.
3. Administrative Operations & Communication:
o Coordinate weekly planning meetings and update calendars and trackers.
o Provide responsive support to team needs.
o Serve as key contact for logistics and supply chain teams, managing transport within budget.
o Manage vendor setup, invoice processing, and department meetings.
o Ensure weekly store recaps are uploaded and assist with business presentations.
o Maintain a 'wish list' of store needs for the region.
Qualifications & Skills:
* 5 years of strategic cycle administration in a fast-paced retail or creative environment.
* Strong project and budget management skills.
* Excellent organizational and prioritization abilities.
* Proficiency in Microsoft Office; knowledge of Photoshop/InDesign is advantageous.
* Effective communication skills, both written and verbal.
* Proactive, solution-oriented mindset with analytical and problem-solving skills.
* Creative eye with attention to detail.
* Interpersonal skills and ability to work independently and collaboratively.
* Fluent in English; additional EU languages are beneficial.
