Personal Assistant / Diary Manager Department for Transport (DfT) Great Minster House, 33 Horseferry Road, London, SW1P 4DR £17.55 per hour Full-time | 9:00am - 5:00pm Minimum 40% office attendance required Contract until 26/02/2027 (potential extension, not guaranteed) Booking Number: 438045 The Department for Transport (DfT) is seeking a proactive and highly organised Personal Assistant / Diary Manager to provide high-level administrative and diary management support to three HR Deputy Directors. This is a fast-paced, varied and rewarding opportunity suited to someone who is initiative-taking, forward-thinking, and able to manage competing priorities with professionalism and discretion. Key Responsibilities Proactively manage Deputy Directors' inboxes, ensuring deadlines and priorities are effectively monitored and actioned. Coordinate and manage complex diaries, meetings and appointments, identifying scheduling conflicts and preparation requirements. Arrange travel, accommodation and transport in line with departmental budgets and policies. Provide secretariat support including minute taking, action tracking and meeting coordination. Support HR directorate administrative activities, including reward and recognition schemes. Deliver high-quality support for Group HR Leadership Team meetings, including preparing briefing materials and accurate minutes. Build and maintain strong working relationships across HR and wider DfT teams. Provide cover and support for other Personal Assistants during periods of leave. Undertake additional administrative and ad hoc duties as required. About You The successful candidate will: Be highly organised with excellent attention to detail. Demonstrate strong communication and interpersonal skills. Be confident managing multiple priorities in a busy environment. Maintain confidentiality and discretion at all times. Have previous PA, diary management or senior administrative support experience. Be flexible, responsive and capable of working independently.
