About the Role
We are looking for a motivated and well‑organised Resources Officer to support the smooth and efficient operation of our charity’s finance, HR, and administrative systems.
This is a varied and hands‑on role in a small but dynamic team, ideal for someone who enjoys managing a diverse workload, is confident with systems and processes, and thrives in a collaborative, inclusive environment.
You will work closely with the senior team to ensure that financial procedures are accurate and up to date, that HR processes support staff and volunteers effectively, and that our offices and systems run efficiently.
Key Responsibilities

* Manage general email inboxes and provide administrative support to the Chief Executive.
* Provide administrative support to Board meetings, including minute‑taking.
2. Finance Administration
Support the Head of Resources to:
* Maintain accurate financial records in line with charity financial policies and procedures.
* Process invoices, payments, and staff expenses.
* Monitor income and expenditure against budgets.
* Assist in grant monitoring and prepare financial information for funders when required.
3. HR and People Support
* Support recruitment processes, including advertising, onboarding, and induction.
* Maintain staff records, contracts, and HR documentation in line with data protection law.
* Coordinate appraisals, training records, and wellbeing initiatives.
4. Governance and Compliance
Support the Chief Executive and Head of Resources with:
* Compliance with GDPR, safeguarding, and other regulatory requirements.
* Managing insurance renewals, the risk register, and the asset register.
5. Communications and Social Media Support
* Support the organisation’s social media presence through content creation, scheduling, and promotion of events, services, and campaigns.
* Monitor social media channels and inboxes, responding to enquiries or directing messages to appropriate staff members.
An enhanced DBS check will be required for this role.
About You
You’ll be practical, organised, and able to manage competing priorities with professionalism and care. You’ll also bring empathy and strong attention to detail to everything you do.
You will demonstrate:
* A strong sense of integrity, empathy, and discretion when handling sensitive or confidential information.
* A clear understanding of GDPR and data protection best practice.
* Excellent communication and interpersonal skills, with the ability to engage people from diverse backgrounds.
* Experience in office administration, finance, or HR within a professional environment.
* Confidence using Microsoft 365 and digital tools such as CRM systems or financial software.
* Strong organisational skills and the ability to prioritise effectively.
* A commitment to equality, diversity, and inclusion, particularly around LGBTQ+ rights and representation.
* A flexible approach to working hours, with occasional early mornings or evenings if required.
* GCSEs (or equivalent) at Grade C/4 or above in English and Maths.
* A willingness to develop your professional skills and support the team’s learning and growth.
