About Charlie Oven Company

Charlie Oven Company designs and builds premium outdoor charcoal ovens and outdoor kitchens by hand in Britain. Our products combine exceptional cooking performance with timeless design, creating the centrepiece of modern outdoor living.

We are a growing business with ambitious plans, working across e-commerce, retail partnerships, events and direct customer sales. We are looking for an enthusiastic, organised and resourceful Operations and Administration Manager to join our small team to help keep the business running smoothly as we continue to grow.

The Role

This is a varied, hands-on role at the heart of the business. You will support day-to-day operations across order processing, logistics, customer service, administration and events.

The ideal candidate will enjoy solving problems, staying organised and making things happen. No two days are the same, so we are looking for someone proactive, adaptable and highly detail orientated.

This is a hybrid role based in Richmond, Surrey, with a mixture of office, home and occasional event-based work.

Key Responsibilities

Operations & Logistics

* Process customer orders accurately and efficiently
* Coordinate deliveries and logistics with suppliers and couriers
* Manage shipments using ShipStation
* Track deliveries and resolve logistical issues proactively
* Maintain operational systems and records

Customer Service

* Respond to customer enquiries by email and phone
* Support customers throughout the buying and delivery process
* Resolve issues professionally and efficiently
* Help deliver an excellent premium customer experience

Financial & Administrative Support

* Support invoicing, payment tracking and financial administration
* Assist with bookkeeping and record management in Xero
* Maintain accurate operational and administrative records
* Help organise internal processes and documentation

E-commerce & Website Administration

* Support day-to-day management of the Shopify platform
* Update products, orders and customer information
* Assist with stock and fulfilment coordination

Events & General Support

* Help organise and coordinate trade shows, demonstrations and events
* Support the wider team with operational and administrative tasks
* Assist wherever needed in a growing entrepreneurial business

Requirements

Essential

* Excellent organisational skills and real attention to detail
* Enthusiastic, proactive and resourceful attitude
* Strong written and verbal communication skills
* Ability to manage multiple tasks and priorities
* Comfortable working independently and as part of a small team
* Familiarity with:
* Xero
* Shopify
* ShipStation

Desirable

* Experience in operations, administration or customer service
* Experience in e-commerce or premium consumer products
* Interest in food, cooking, design or lifestyle brands
