Overview

The Integrated Procedures Unit (IPU) has an exciting opportunity for a motivated and conscientious receptionist to join our admin team. This role is for 20 hours, worked over 3 days. The IPU admin team covers the Unit from 07:00 to 17:00 Monday to Friday. IPU is closed on weekends and Bank Holidays. The Christie is one of Europe’s leading cancer centres, treating over 60,000 patients a year. We are based in Manchester and serve a population of 3.2 million across Greater Manchester & Cheshire, but as a national specialist around 15% patients are referred to us from other parts of the country. We provide radiotherapy through one of the largest radiotherapy departments in the world; chemotherapy on site and through 14 other hospitals; highly specialist surgery for complex and rare cancer; and a wide range of support and diagnostic services. We are also an international leader in research, with world first breakthroughs for over 100 years. We run one of the largest early clinical trial units in Europe with over 300 trials every year. Cancer research in Manchester, most of which is undertaken on the Christie site, has been officially ranked the best in the UK.

The Integrated Procedures Unit (IPU) is a nurse-led, fast-paced and dynamic service. The unit consists of a procedure team, interventional radiology unit, ultrasound room, surgical dressings clinic, outpatients clinic, day of surgery admissions unit, an operating theatre and second stage recovery bays. You will become part of this complex multidisciplinary team and benefit from a comprehensive induction period.


Duties and responsibilities

* To welcome patients and visitors to the unit.
* To provide reassurance to patients and relatives where necessary.
* To deal with general enquiries from patients, relatives, other hospital staff and outside agencies, taking appropriate action where required.
* To arrange transport for patients as required.
* Provide comprehensive advice to patients regarding appointments.
* To liaise with other hospitals/departments as required.
* To use own initiative to resolve problems as they arise, e.g. cancellation of appointments.
* To maintain patient confidentiality at all times.
* To book surgical clinic appointments.
* To record patient attendance on Medway, CRIS or Theatreman Systems in an accurate and timely manner.
* To be responsible for filing/scanning relevant documentation into case notes after discharge.
* To be responsible for updating the hospital case note tracking system, making sure that the location of case notes is accurately recorded at all times.
* To work collaboratively with colleagues to ensure policies are adhered to.
* To cross-cover all reception services within both IPU/DOSA, in accordance with service need and in the case of annual leave and sick leave.
* To identify personal training needs and actively participate in the development of appropriate training sessions for ward receptionists, including attending training sessions run by the core Health Records team and other appropriate courses, as required.
* To regularly review working practices and develop and implement new ways of working.
* To attend staff meetings and read daily departmental communication.
* To support the reception manager and unit manager to undertake a regular review to support more effective ways of working, when required.
* To participate in regular audits of unit-based clerical activities.
* Cross-cover responsibilities for IPU/DOSA reception as required.
* Planning and organisational tasks / duties: Maintain cleanliness in the work environment in line with Trust health and safety policies; welcome and orientate patients, visitors and others to the department; ensure effective customer care; proactively help patients and carers to take an active role in care delivery.
* Demonstrate respect for the individual patient, considering religious, cultural and social needs at all times and acknowledge their individual rights; promote non-discriminatory practice.
* Recognise and report abusive behaviour to an appropriate member of staff.
* Document and liaise to ensure cooperation in achieving departmental objectives, promoting good working relationships and team spirit.
* Develop personal awareness of others’ perceptions and respond to constructive feedback.
* Adhere to Trust Uniform Policy and attend Mandatory training courses.
* Maintain confidentiality of patient information both at work and outside of working hours.
* Adhere to policies including sickness and absence, confidentiality, uniform and Health and Safety at Work Act; be familiar with risk assessments.
* Show respect for team members and support the department’s philosophy of mutual support.
* Environment: Ensure all reception areas are clean and tidy.
* Responsibility for financial resources: Support the nursing team to meet cost savings for the department.
