MAC Eyewear is looking for an experienced, friendly office administrator. We have recently relocated to Cheltenham and so we are looking for a new office administrator to assist with our office function. The main purpose of the role is to support clients and suppliers over the phone and by email. The successful candidate will need to be incredibly organised, methodical, calm and collective and have excellent communication and interpersonal skills. At least 12 months previous office experience is essential, as would be skills in emailing, creating spreadsheets and emails. This role is full time - with a salary ranging from £23,000 to £28,000 depending on experience. This will be a busy and varied role with a strong emphasis on customer service. The hours of work are 9-5 Monday to Friday. Tasks and responsibilities include: · Answering telephone calls and queries professionally, accurately and consistently · Monitoring, managing incoming emails, making sure enquiries are replied to in a timely manner. · Liaising with customers on the progress of their enquiry · Chasing up and monitor progress of the orders and deliveries · Raising purchase orders/ credit notes, checking and processing invoices · Processing deliveries from suppliers/sending out orders accurately using Royal Mail account and DHL/UPS · Managing stock / ordering stationary · Some account work – marking off payments received and chasing overdue invoices on our accounts package (training provided). · Participating in ‘trade fairs’ to represent the company and supporting the team. Skills, experience and attributes required: * At least 1 year experience in a customer service or admin role * The company will also consider candidates who have an admin background dealing with maintenance queries, or other office admin. * Proficient in using Microsoft products and general IT literacy * Excellent organisational and time management skills * Excellent communication skills, both verbally and written * Ability to handle complaints and difficult situations * Able to work as part of a team, but also independently
