This position performs a variety of duties related the the university’s purchasing process by providing information related to proper procedures in the procurement of goods and services, and technical assistance for the purchasing systems. This position will also assist with policy, procedure, system implementation, campus training, end user support, coordinate information form campus departments, and act as the control center for policies and procedures.
Education Required
Associates degree in business, finance, or accounting.
Education Preferred
Experience Required
1-2 years of experience in procurement, accounting, bookkeeping or similar experience.
Experience Preferred
2 years of experience in procurement.

• Demonstrated understanding of computer-based procurement practices, processes and systems.
• Excellent interpersonal and customer relations skills
• Excellent project management skills to assist in managing implementation and maintaining automated procurement systems
• Outstanding communication skills for oral presentations and campus training, as well as excellent written communication for email and other correspondence
• Strong ability to perform detailed-oriented work accurately and pursue issues and questions in a diligent fashion.
• A deadline-oriented and customer focused work ethic.
• Excellent organizational skills, including time management skills and the ability to prioritize multiple responsibilities

Primary Duties
1. Coordinate the purchasing process-requisition, PO, order placement.
2. Monitor purchases to ensure compliance with established policies and procedures
3. Work closely with the accounts payable department to ensure a smooth Procure-to-Pay process.
4. Assist with the setup of new vendors and database management
5. Review open encumbrances and coordinate action with departments and vendors to completion
6. Provide support to customers in the processing and procuring of goods and services.
7. Assist with training end users on purchasing systems, policies, and procedures
8. Maintain consistent and reliable attendance
Secondary Duties
1. Assist in direct purchases as directed by the Director of Procurement Services
2. Assist the campus in researching vendors for best value in securing goods and services
3. Act as a liaison between departments and vendors in scheduling of delivery of goods and services
4. Assist in planning special purchasing functions
5. Occasional back-up support of purchasing card coordinator functions for department coverage
6. Other duties as assigned
