To support the delivery of a fully comprehensive cashiers and support service at King’s College Hospital Foundation Trust including telephone, face‑to‑face, email and postal requests, providing an efficient and professional service to patients, their representatives, visitors, volunteers and other staff.
Responsibilities
Income / Disbursements
* Check eligibility of all reimbursement requests for proof of eligibility, entitlement and purchase; especially through the use of the electronic patient records system.
* Record all transactions in the corresponding journal for accounting purposes to be used by finance.
* Scan and record all transactional evidence in the corresponding file on the Cash Office network drive for auditing purposes.
* Process any postal claims made for travel reimbursement before completing a payment authorisation form and passing onto the finance department for payment.
* Process any ultra‑low emission zone (ULEZ) claims before submitting a reimbursement request to Transport for London (TFL).
* Process and record any income from other departments, including but not limited to the mortuary and King’s College Hospital Charity.
* Receive and record any bulk cash deliveries made by G4S, raising any discrepancies as issues with G4S and line management.
Patient Property
* Receive all incoming patient property including cash and valuables in line with the patient property policy, using tamper‑proof bags to be stored securely in the office.
* Scan and record all incoming property paperwork including counter‑signed itemised items lists.
* Check authenticity and authorise any request to withdraw patient cash and belongings.
* Update patient property lists when withdrawals, collections or other changes to patient property held by the cash office are made.
Support Services
* Approve and distribute volunteer expenses in line with the Trust’s policies and procedures.
* Provide pastoral support for volunteers and college students to ensure they excel in volunteering roles.
* Support the delivery of the volunteering college placement programme, acting as primary contact for schools and colleges, maintaining relationships with placement representatives, visiting schools, presenting on volunteering, reviewing recruitment and training processes and reporting programme performance to stakeholders.
Reporting
* Reconcile daily cash balances to ensure all money and transactions are accounted for.
* Send all journals at week‑end to the corresponding department (income and disbursements to finance, travel to patient travel, donations to charity, etc.).
* Submit weekly cash orders to G4S to replenish any transactions from previous weeks.
* Submit monthly patient property holding records to the finance department.
Other Duties
* Field and resolve complaints and queries, signposting to the most appropriate colleague and resolution pathway.
* Conduct any other duties that may be deemed necessary and are consistent with the grade of the post.
General
* Have a general duty of care for own health, safety and wellbeing and that of work colleagues, visitors and patients within the hospital, in addition to any specific risk management or clinical governance accountabilities associated with this post.
* Observe the rules, policies, procedures and standards of King’s College Hospital NHS Foundation Trust together with all relevant statutory and professional obligations.
* Observe and maintain strict confidentiality of personal information relating to patients and staff.

Infection Control Statement
The post holder has an important responsibility for and contribution to infection control and must be familiar with the infection control and hygiene procedures and requirements when in clinical areas. These requirements are set out in the national code of practice on infection control and local policies and procedures which will be made clear during induction and refresher training. Strict compliance at all times is required.
Person Specification – Education and Qualifications
* NVQ Level 4, Foundation Degree, Higher National Diploma, Certificate or equivalent experience.
* Evidence of continuous professional development (desirable).
Knowledge and Experience
* Proven administration and organisational experience in a customer‑facing role.
* Experience of dealing with highly charged and emotional situations involving patients, relatives, carers and the public.
* Experience of working autonomously within a highly pressured environment.
* Significant experience of engaging with a wide range of key stakeholders both within and external to an organisation.
* Experience of working in a cash handling role (desirable).
Skills and Competencies
* Advanced use of software programmes such as Outlook, Word, Excel, Access and PowerPoint.
* Ability to demonstrate tact and diplomacy when handling sensitive issues, defusing hostility and aggression.
* Ability to work under pressure, analysing information to seek solutions to problems.
* Prioritise workload, stay organised and remain flexible to changing situations.
