Order Processing Coordinator (Dior & Multibrand)

Purpose of the Role
To work closely with the Marketing and Supply teams to ensure all Launch and Sample orders are managed and processed on time within agreed SLAs. To support Operations Specialist with internal orders and order processing.
Key Responsibilities
Launch Management POSM/Free Goods Orders
* Be the main point of contact for UK and EIRE launch and order planning for POSM and free goods.
* Assist with the successful implementation of all launch activities so that all on‑counter dates are met.
* Work closely with the Supply team to ensure orders and matrices are downloaded from Aurora within the agreed time frame.
* Clearly communicate status and manage solutions for launch management, distribution management, shortage reports, and any logistical constraints for POSM.
* Perform any ad‑hoc duties as required.
Key Account Management
* Place all POSM/Free Goods orders.
* Manage POSM/Free Goods fulfilment within PCD and communicate to relevant stakeholders.
* Develop internal relationships within brands to maintain the role of a trusted partner and ensure operational excellence.
* Respond to all queries and issues related to POSM/free goods post‑fulfilment.
* Clearly communicate status and manage all POSM/free goods launch orders internally and externally to retailers.
* Assist Operations Specialist with daily and weekly reports to the Commercial team.
Logistics Management
* Coordinate shipping requests with distribution Milton Keynes.
* Act as a liaison between distribution centre in Milton Keynes, transport partners, the customer and Supply and Marketing teams.
* Prepare operational reports concerning demand activities for launch orders.
* Communicate order flow status to the customer and relevant business stakeholders as necessary.
Internal Collaboration
* Work in tandem with the wider operational team to ensure information is captured and passed on to the relevant team member in a timely fashion.
* Participate in daily, weekly and monthly team meetings to maintain good communication within the department.
Profile
Key Competencies: Excellent written and verbal communication skills; eager to learn and adaptable; action‑orientated and proactive; results driven; ability to prioritise and manage time effectively; adaptable with strong problem‑solving skills; quick thinking, supportive and calm under pressure.
Experience: 2–3 years of operational, logistics or customer service experience in an FMCG environment.
Technical Skills: Proficient in Microsoft Office (Word, Excel); Proficient in SAP or comparable ERP system.
