About the Role
This is a pivotal operational role responsible for coordinating the delivery of live events, mentoring programmes and membership administration. You will sit at the centre of multiple workstreams including events, sponsors, speakers, mentoring clients and members, ensuring seamless execution behind the scenes.
This is not a marketing or creative role. It is a coordination and logistics position requiring strong administrative capability, structure and proactive strategic thinking. The successful candidate will oversee all aspects of event planning and delivery, demonstrating excellent organisational and communication skills, the ability to manage multiple priorities simultaneously, and the confidence to resolve challenges quickly whilst remaining calm and decisive.

Key Responsibilities
You will take ownership of operational co-ordination across live events including business summits, awards ceremonies and member masterminds.
· Plan and co-ordinate live events from initial planning through to post-event review.
· Liaise with venues, suppliers and production teams to ensure everything is organised and confirmed.
· Create clear event timelines, run-of-show documents and backup plans.
· Manage ticketing, registration systems, guest lists and attendee communication.
· Co-ordinate speaker onboarding, briefing materials and sponsor requirements.
· Act as the main point of contact for sponsors, speakers, judges, suppliers and internal teams.
· Oversee event setup and breakdown.
· Provide on-site support and resolve issues quickly and calmly.
· Monitor budgets, track costs and support supplier payments where required.
· Produce post-event reports and maintain accurate event records.
Mentoring Programme and Member Co-ordination
You will manage the administration and scheduling of mentoring sessions and membership programmes
· Co-ordinate diaries and manage session scheduling.
· Create Zoom links, calendar invitations and reminder systems.
· Track attendance, manage rescheduling and handle follow-up administration.
· Distribute session materials and support structured delivery.
· Manage new member onboarding and maintain accurate membership records.
· Track subscriptions, renewals and member communications.
· Support delivery of member benefits and community sessions.
Operational & Administrative Oversight
* Diary co-ordination
* Organise and maintain digital filing systems and documentation.
* Track invoices and follow-up on payments.
* Support the development and improvement of internal processes.
* Provide administrative support to other departments during peak periods.
Skills, Experience & Personal Attributes
We are seeking a capable and dependable professional who can demonstrate:
* A minimum of 3 years' experience in administrative, coordination or event-based roles.
* Proven experience working within a fast-paced environment; previous event coordination experience preferred (industry awards, corporate events or exhibitions advantageous).
* Experience within a fast-moving environment is essential and experience within the flooring or construction industry is desirable.
* Exceptional organisational ability, with the confidence to manage multiple concurrent workstreams and competing priorities.
* Strong diary management, scheduling and coordination skills.
* High attention to detail with a structured and methodical approach to delivery.
* Excellent written and verbal communication skills.
* Strong problem-solving ability and sound decision-making capability.
* Commercial awareness, including experience supporting budgets and tracking costs.
* Proficiency in Microsoft Office, Google Workspace, Zoom and spreadsheet-based systems.
* Flexibility to travel and work outside standard hours when required.
* Confident communicating and working closely with a diverse range of individuals, from independent tradespeople to senior executives.
* A proactive, accountable mindset with the ability to work independently and take ownership of responsibilities.
