We’re seeking an experienced Coordinator to join our team reporting directly to the Academy Director. This is a pivotal role in ensuring the smooth, professional and efficient running of office administration, reception services, customer interaction, facilities management, and UK sales support activities across Global ATS. The role requires proactive organisation, excellent customer service, attention to detail, and the ability to support both internal teams and external customers while maintaining a safe, welcoming, and efficient working environment. Key Responsibilities Office Management & Facilities Support Ensure the office environment is safe, professional, and well-maintained, overseeing appearance internally and externally. Support the Course Administrator with managing utilities and services (electricity, water, waste, fire/intruder alarms, air conditioning, car park, kitchen equipment, security, office repairs, cleaning, etc.). Conduct weekly site inspections and monitor key areas daily. Manage office upgrade activities and coordinate with contractors where necessary. Organise external events (internal staff events, recruitment fairs, seminars, exhibitions, Christmas party, summer BBQ, etc.). Support ‘Course Administrator’ with office supplies: order stationery, consumables, business cards, uniforms, giveaways, etc. Process incoming/outgoing mail, parcels, couriers, and document archiving. Reception & Customer Interaction Fulfil full front-of-house reception duties including welcoming staff, students, customers, and visitors, answering calls and email enquiries, issuing access passes for staff and student and managing visitor access. Referring or resolves any queries as they arise. Understand core business operations to handle general customer queries confidently. Maintain positive, proactive communication with all staff and students. Act as initial point of contact for facilities servicing third-party contractors, H31 estates, H&S, and IT teams, including managing parking allocation. UK Sales & Customer Support Provide administrative support to the UK sales team, including responding to customer enquiries, preparing quotes, and maintaining accurate CRM records. Support project administration related to seminars, exhibitions, and customer visits. Coordinate with customers, prospects, and internal staff to ensure a positive customer experience, including arranging travel, hotels, transport, catering, and meeting room setup. Travel & Accommodation Coordinate offsite meetings and external bookings as required for Global Team. HR & Administrative Support Support Human Resources with administrative support for example uploading personal data to our online HR system, ensuring records are accurate, co ordinating assessment events and/or careers fairs etc. Support preparation and printing of bid documents and other professional submissions. Maintain up-to-date staff activity lists, including travel, events, and absences. Carry out any other administrative tasks as requested by managers and directors. Safeguarding & Compliance Serve as Safeguarding Officer (training provided if required). Support ongoing compliance with health & safety requirements, risk assessments, reporting, and maintaining high standards across the site. Ensure adherence to company quality management systems and policies. Technical Requirements & Experience Education Minimum of 5 GCSE’s Grade A – C or equivalent (to include English and Maths.) Essential Experience Previous customer-facing experience, ideally in a reception or administration role requiring accuracy. Proven history of ability to work both independently and as part of a team. Experience of facilities, health & safety and/or office management. Experience of working with very confidential information with utmost discretion Desirable Experience (but full training can be given if required) Safeguarding Officer training completed Health & Safety certifications held Current Emergency First Aid at Work certification Skills & Attributes Proactive and highly organised with attention to detail. Excellent interpersonal and communication skills. Calm under pressure, with the ability to multitask and prioritise competing demands. Confident and able to engage with people at all levels, both internal and external to the business.
