Job Description
We are seeking an exceptional Private EA to support a wonderful, down-to-earth UHNW family on a beautiful estate in Oxfordshire. This is a senior, hands-on role requiring a committed, discreet and highly capable individual who can take full ownership of the smooth running of the Principal’s private and household affairs.
This is a pivotal position within the household. The successful candidate will operate as the central point of coordination across travel, finance, staff management and property oversight. The role carries significant responsibility, including oversight of finances, high-value transactions and sensitive matters, requiring sound judgement, calm decision-making and absolute discretion.
The Principal is looking for someone with strong people management skills and the ability to bring warmth and structure to a busy household. The role is primarily estate-based and requires someone living within a reasonable commuting distance, ensuring responsiveness to last-minute changes and on-site requirements.
While core hours are 9 am to 5.30 pm, Monday to Friday, the successful candidate will demonstrate flexibility and availability in the event of urgent travel issues or time-sensitive matters. This role requires a proactive and positive mindset and a genuine sense of ownership. DUTIES INCLUDE
• Comprehensive diary management across personal, family and household commitments
• Full oversight of domestic and international travel arrangements, including commercial and private aviation, car transfers and detailed itineraries
• Managing and monitoring household bank accounts, payments and expenditure
• Overseeing invoicing, supplier payments and budget tracking
• Day-to-day management and coordination of household staff, including recruitment, onboarding and annual leave tracking
• Bringing structure and cohesion to the wider household team through clear communication and confident leadership
• Overseeing property management across the estate and additional international properties, liaising with contractors and service providers
• Coordinating maintenance, refurbishments and ongoing projects, ensuring deadlines and standards are met
• Managing visas and ensuring all travel documentation is accurate and up to date
• Booking medical appointments and coordinating insurance claims as required
• Supporting other family members with travel coordination and practical arrangements, maintaining a warm and approachable presence
• Organising family gatherings, private dinners and social events
• Managing correspondence, emails and calls with professionalism and discretion
• Maintaining accurate digital and physical filing systems
• Liaising with accountants, agents and professional advisers as required
• Running ad hoc errands and providing general administrative support
ESSENTIAL CRITERIA
• Significant experience as a Private PA or EA supporting UHNW principals or families
• Proven experience managing high levels of financial responsibility with discretion and sound judgement
• Strong people management skills, with the ability to lead household staff with both warmth and firmness
• Highly organised, detail-oriented and calm under pressure
• Professional, poised and emotionally intelligent
• A natural problem solver with a proactive, solutions-focused mindset
• Flexible and responsive, with a genuine sense of ownership
• Excellent written and verbal communication skills
• Confident using Microsoft Office and digital household systems
• Must live within a reasonable (c 1 hour) commuting distance of the Oxfordshire estate
• Right to work in the UK
