Reports to: Registered Manager
Location: Private Fostering Agency
Role Purpose:
To provide high-level administrative and organisational support to the Registered Manager, enabling them to focus on the strategic leadership and operational management of the fostering service. The PA will act as the first point of contact for internal and external stakeholders, ensure efficient office systems, and maintain accurate records in line with fostering regulations and agency policies.
Key Responsibilities1. Administrative Support
* Provide comprehensive PA support to the Registered Manager, including diary management, scheduling meetings, and prioritising tasks.
* Prepare correspondence, reports, and documentation on behalf of the Registered Manager.
* Take minutes of meetings (including management, panel, and strategy meetings) and ensure timely distribution of actions.
* Manage and maintain confidential records in line with GDPR and safeguarding requirements.
2. Communication & Liaison
* Act as a first point of contact for the Registered Manager, screening calls, emails, and correspondence.
* Liaise with staff, foster carers, social workers, and external professionals as required.
* Draft professional communications and ensure responses are delivered within agreed timescales.
3. Compliance & Record Keeping
* Support the Registered Manager in ensuring the agency remains compliant with fostering regulations, National Minimum Standards, and Ofsted requirements.
* Maintain accurate records of policies, procedures, and audits, ensuring they are up to date and accessible.
* Assist in preparing documentation for inspections, panels, and external audits.
4. Organisational Support
* Coordinate internal and external meetings, events, and training sessions.
* Support the smooth running of fostering panels by preparing papers, liaising with panel members, and recording outcomes.
* Maintain databases and management information systems to support effective decision-making.
5. Confidentiality & Safeguarding
* Handle sensitive and confidential information with discretion at all times.
* Ensure all records and communications are managed in line with safeguarding protocols.
* Support the Registered Manager in safeguarding duties by ensuring accurate documentation and timely follow-up of actions.
6. General Office Duties
* Support the wider admin team in maintaining efficient office systems and procedures.
* Order and maintain office supplies and equipment where needed.
* Contribute to the overall effectiveness of the fostering agency by providing flexible support when required.
Person Specification (Key Skills & Qualities)
* Strong organisational and time management skills.
* Excellent written and verbal communication.
* Ability to work independently and manage competing priorities.
* Confidential, professional, and able to handle sensitive information.
* Proficient in Microsoft Office and agency databases.
* Understanding of safeguarding principles and confidentiality in fostering.
* Previous experience in social care, education, or fostering sector (desirable).
This is a hybrid position; some in-office work is required, as well as some work from home opportunities.
Job Type: Full-time
Pay: £25,000.00-£27,000.00 per year
