An opportunity has arisen for a Band 4 Administration Team Secretary to provide support to the Richmond CAMHS Service.
The key responsibilities include:
1. Ensuring the accuracy and timeliness of data on electronic patient care records and Local Authority systems, reviewing dashboards, and addressing errors.
2. Supporting team members in accessing information via My Dashboards and IAPTus.
3. Providing courteous and efficient reception for service users, patients, and visitors.
4. Processing referrals efficiently, responding to urgent referrals, and coordinating with the duty team.
5. Facilitating effective communication within the team through messages and information sharing.
6. Handling telephone enquiries politely, passing messages accurately, and managing difficult conversations with patients.
7. Maintaining confidentiality during multidisciplinary meetings, panels, and safeguarding meetings, including room bookings and video conferencing.
8. Monitoring Admin KPIs through regular reports from the Team Manager.
9. Coordinating support services such as domestic, catering, security, and estates, and acting as contact for maintenance issues.
10. Managing stationery supplies in liaison with Procurement.
11. Accurately typing and dispatching correspondence and documents, including reports, assessments, and confidential materials.
12. Photocopying, scanning, faxing, distributing, and filing information.
13. Sorting and distributing incoming mail.
14. Extracting information for third parties as needed.
15. Maintaining waiting lists and submitting timely monthly returns to Information Management.
16. Contributing to the development of administrative procedures.
The successful candidate must be a team player with previous NHS Trust administration experience, flexible, able to work under pressure, and possess excellent organizational, communication, and interpersonal skills. The role requires outstanding verbal and written communication skills and the ability to maintain professional relationships, even in challenging circumstances.
