Main Purpose of the Job
To support the smooth running of the business and the HR department in a number of functions. You will apply due diligence and integrity to all the tasks you touch. Be GDPR compliant and adhere to confidentiality at all times. Be the go to person for site administrative duties and HR administration and add value to the business operation on a daily basis. Be proficient in understanding the business areas to add value when required. Work as a key team player in a very small team. Be willing to learn and further develop your skills and communicate with the Senior HR Manager daily on relevant departmental updates.
Key Responsibilities
Office Administration
* Organising companywide celebration events
* Coordinating Travel arrangements for employees and visitors to the site
* Organising company business meetings
* Ensuring the smooth running of the facility, managing the breakroom and boardroom, ordering stationery for the facility
* Managing the Long Service award process
* Ordering and managing workwear for employees
* Supporting and delivering site communications
* Creating contract addendum letters
* Mass produce yearly letters through mail merge.
* Produce Ad hoc letters in support of the department.
* Any other administrative tasks as required by the business team.
Recruitment and Selection:
* Manage the administration of the recruitment process.
* Arrange interviews for recruitment campaigns.
* Ensure legal compliance with legal requirements and company policies during the recruitment process.
Training administrative duties
* Onboard any new apprentices/Trainee/New Employees as required
* Manage the apprentice programme, liaising with colleges and universities
* Managing the levy spend
Onboarding/offboarding Process
* Ensure offer & contract are compiled & signed in a timely manner.
* Complete strict Right to Work checks in line with legislation by day one.
* Gather all other required starter/leaver information from candidate/Employee.
* Manage electronic signature software program.
* Process all received forms and pass to relevant departments including payroll and to be added to Dayforce, checking all information is correct.
* Conduct background checks
* Deliver the HR induction to all New Starters on day one
* Book induction with Health & Safety, Quality and any other requirements
* Set up electronic folder and populate with all documents.
Desired skills
* Personal Assistant experience in an HR department
* Willing to be a team player and take on a variety of different administrative tasks to ensure the smooth running of the facility.
* Self-starter, able to work with minimal direction
* Keen to learn and be flexible
* Happy to think outside of the instruction provided for a better experience
* Adaptability to adapt to electronic systems
