Embrace Excellence
This position plays a key role in the day-to-day coordination of the Keepers of the Quaich. The role holder will serve as an ambassador for KOTQ, supporting the Head of the Keepers of the Quaich, in coordinating significant events, including the Ceremony of Induction and the Banquet, held twice per year, which are the highlight of the events calendar.
The coordinator will report to the Head of the Keepers of the Quaich and will oversee coordination at all levels with our chair, management committee, founding partners, and members to guarantee the successful execution of the KOTQ’s role and agenda
This is a part time role 30 hours per week, Monday-Thursday.
Make an Impact
Reporting to the Head of the Keepers of the Quaich, key responsibilities include:
6. Support the Head of the Keepers of the Quaich in managing the event timelines and deadlines for each banquet.
7. Support the Head of the Keepers of the Quaich with the day to day running of the office, diary management, meeting administration and other ad-hoc administrative duties
8. Foster strong relationships with stakeholders, assisting the Head of the Keepers of the Quaich in responding to enquiries and deputising for the Head of the Keepers of the Quaich where required
9. Prioritise and manage emails, tasks, and documentation.
10. Handle membership administration, ensuring GDPR compliance and efficient file storage
11. Coordinate with suppliers to manage stock levels and orders
12. Oversee new product sourcing and merchandise promotion
13. Maintain accurate stock records and process invoices
14. Oversee database management and development.
15. Ensure database accuracy and produce timely queries
Your Talent and Skills
To be successful in this role, you hold:
16. Prior experience in banquet coordination or event management commensurate to this level of role
17. Previous experience of providing customer service
18. Strong background in office administration and diary management
19. Experience in merchandise and stock management
20. Ability to multi-task, prioritize effectively, and meet deadlines
21. Proficient in using MS Office, database systems, and website management tools
22. Aptitude for learning with high levels of engagement. The ability to work within a small team, adaptability to handle a variety of tasks is required
