General Job Description / Key Responsibilities
The Implementation Coordinator reports directly to the Senior Implementation Manager and is responsible for supporting all site installation services. They work in partnership with the Sales Support Team and an ecosystem of Installation Partners.
The Implementation Coordinator supports the Installation Manager and Service Supervisor in the successful implementation of projects and service activities. This involves coordinating activities to ensure customer requirements are planned and resourced to meet cost and time objectives, including completing projects in compliance with customer expectations, company objectives, and contractual documentation.
With good attention to detail, they ensure effective contract administration alongside the Implementation Manager and service partners. They are responsible for coordinating all aspects of project and construction activities to ensure completion to the client's satisfaction, customer satisfaction, and achievement of planned profitability.
Objectives / Key Deliverables / KPI
* Support the business strategy with installation service delivery across all accounts.
* Assist the Installation Manager with effective training and planning.
* Administer the labour schedule to ensure all projects are delivered 'right first time'.
* Manage onsite issues and snags.
* Administer job briefs and job packs.
Key Competences / Skills
* Coordinate with the Installation Manager and Service Supervisor to ensure allocation and job briefings are issued for all activities.
* Support implementation coordination activities to promote consistent ways of working and align with business service strategy.
* Collaborate with the Sales Support and Implementation teams to create schedules for order raising and processing.
* Book transport and raise associated purchase orders.
* Assist the Installation Manager and Service Supervisor with all costs related to service delivery, monitor risks, and highlight issues.
* Coordinate daily implementation workflows.
* Communicate with the Relationship Sales Team to provide status updates on service activities.
* Provide general support for implementation and service activities.
* Attend daily meetings with Operational and Implementation teams.
* Prepare files for invoicing.
* Promote the ITAB brand by building trust and rapport with customers to ensure satisfaction and brand loyalty.
* Run daily reports to verify project dispatches.
* Support the month-end invoice process.
* Coordinate sign-off activities and communicate with customers.
* Prepare site Health and Safety and engineer job packs.
* Support training requirements for service partners.
* Attend service partner and customer meetings as needed.
