Job Overview
We are looking for two people to join our vibrant team and help drive the development of new research across the Trust and manage a diverse portfolio of active grants. These posts will build on administrative experience and contribute to evidence‑based patient care.
Key Responsibilities
* Facilitate the running of internal funding calls, support staff to apply, organise award panel meetings, prepare and send award letters, and support setting up awards and tracking active projects (finance, progress reports and impact reports).
* Maintain logs and track grants in development and active grants; prepare reports for team meetings, the Senior Leadership Team and Trust Governance meetings.
* Support the grants team in developing external funding applications, collating costs, and manage active research grants including set‑up, finance and contract management.
* Assist the Contracts Officer & Quality Manager in logging contracts, setting up agreement contracts promptly, liaise with other organisations during contract negotiation, prepare schedules and arrange signatures.
* Work with the Research Development Lead and grants team to generate high‑quality grant applications, coordinating input from finance and other departments and ensuring timely and accurate submissions.
* Co‑ordinate confirmation by all signatories that the content of submissions is acceptable and complete the application process, including online and wet‑ink signatures, within defined timeframes.
* Anticipate and plan arrangements for exploitation of intellectual property before and after grant award.
* Maintain accurate and up‑to‑date tracking information for grant applications and their status, and provide reports as required by the Research Development and Grants Manager.
* Disseminate relevant information to potential researchers.
* Coordinate the application process for pump‑priming grants, advertise calls, monitor progress and agree finances and invoices with local charity, NHS and university partners.
Contracts Management
* Develop, implement and maintain a system for effective and timely contracts management.
* Identify the required contracts upon grant award and ensure the correct suite of contracts is in place.
* Develop close working relationships with chief investigators to set up grants effectively and manage expectations of all parties.
* Plan and manage the development and signature of contracts, collaboration agreements and SLAs to meet timelines.
* Select and modify contract templates in consultation with the Senior Contracts Advisor and Grants Manager.
* Issue and receive contracts to/from collaborators within defined timeframes, negotiate and modify contracts as needed, and maintain accurate status information.
Person Specification
Education
* Graduate qualification and some experience in a relevant area, or a minimum of five years of relevant experience.
Essential Criteria
* Good understanding of the purpose of research in the NHS.
* Expertise in working with research contracts.
* Excellent interpersonal and communication skills, written and verbal.
* Effective team worker with strong influencing skills.
* Evidence of problem‑solving skills.
* Ability to work to strict deadlines and use judgement in complex situations.
* Highly developed administrative, organisational and project management skills.
* Commitment to providing a high‑quality service that supports improvements in NHS research and care of research subjects.
Desirable Criteria
* Evidence of continuing professional development.
* Good understanding of Research Governance in the NHS.
* Up‑to‑date knowledge of local, national, and international regulatory requirements relating to research.
* Commitment to the patient and public involvement agenda in NHS research.
* Experience of working across organisations to facilitate contract agreement.
