About The Role Working with our Chief Executive, Directors and Board of Trustees, you play an important role in making sure that these individuals/groups manage their time and resources efficiently. You are a key point of contact both internally and externally and as an integral part of the charity, you contribute to our mission by providing exceptional administrative support, enabling us to focus on making a positive impact on the individuals and communities we support. Your Job Responsibilities What you’ll be doing Supporting and coordinating our Board and Governance functions by: Scheduling Board and Governance Committee meetings (you'll co-ordinate/distribute papers and reports, attend to take detailed minutes and actions, and then circulate these). Assisting with other areas of the governance function as needed by the Co-Chairs and/or the Chief Executive. Providing general support to the Chief Executive and the Executive Team. Organising travel and accommodation and managing the relationship with suppliers. Arranging internal and external meetings and minute-taking, coordinating/preparing agendas, papers, presentations and reports. Prioritisation of work, communications and tasks. Organising and maintaining files and documentation. Organising (or helping to organise) a range of internal activities including town hall meetings, development days, social and other ad-hoc events. Acting as a liaison between the Executive Team, Board and internal/external contacts. Handling confidential and sensitive information with discretion and professionalism. Assisting with other projects, tasks and initiatives as needed. Your Skills & Experience Essential: Proven experience as a PA, Senior PA, Executive Assistant or similar role. Excellent organisational, multi-tasking and time management skills. Strong communication and interpersonal skills. A high level of integrity and discretion. Experience of detailed, accurate minute/action taking. Experience of preparing agendas and board papers/board packs. A commitment to promoting a safe, diverse, inclusive and accessible working environment. Desirable: A solid understanding of or familiarity with charity governance. Strong proficiency in Microsoft Office products including Word, Excel and PowerPoint. Committed to understanding others You actively listen and take thoughtful and informed actions. Other Requirements You must be over 18 years of age. You must have the right to live and work in the UK. You must be comfortable working around dogs. Driving the charity’s vehicles from time to time is part of the role, so a full driving licence is preferred but, where applicable, we will work with the chosen candidate to find alternative solutions in those instances where reasonable adjustments are required. As you will be working with vulnerable people, you will be required to undergo a DBS check. This will be renewed every four years. You’ll be expected to have a good understanding of safeguarding issues and how they should be applied to the work of the charity and its partner organisations. Full training on this will be provided during your induction.
