The Role They are now seeking an experienced Part Time and proactive freelance Office Administrator to support the team with a range of administrative, compliance, and project-based tasks. The ideal candidate will be capable of managing various responsibilities across different areas of the business, with a focus on establishing efficient systems and maintaining organised records. Key Accountabilities: Administrative Tasks: Collate and process timesheet information from all staff Organise and coordinate necessary professional surveys and other logistical arrangements Ordering ink and paper supplies Answering the phone and taking messages Manage the completion of standard RIBA contracts and appointments documentation Format and prepare Quinnquenniel Inspections reports for printing and distribution Systematically convert all incoming and outgoing emails to PDF format and file them onto the company system for record-keeping Assist on public tenders Assist on award submissions Writing up Quinnenniel Inspections reports via architects notes and dictaphone Analyse timesheet/project information Collaborate with Social Media Assistant to work on PR strategy Contribute to business and marketing strategies Project Tasks Organise and coordinate the required fire risk assessment Review and update all existing company policies to ensure compliance and relevance Document and finalise necessary risk assessments Update appointment terms and conditions documentation Set up and implement a new timesheet and project profitability system Update the website with new projects and information Future Development Tasks: Assist in the establishment and management of an online bookshop Work towards achieving B Corp status Work towards achieving ISO9001 The Candidate Proven experience in an administrative or executive assistant role Exceptional organisational skills and meticulous attention to detail Proficiency in document management Familiarity with, or a strong ability to quickly learn, professional service contracts High level of proficiency with Google Workspace Strong communication skills, both written and verbal Ability to work independently and manage time effectively as a freelancer The Terms Freelance basis working approx. 14 hours per week (flexible pattern available) Ability to travel to their office in Otley and work on Mondays £18-20 per hour
