Position Summary
The AV & Technology Project Coordinator is responsible for the planning and coordinating of our internal AV & Content teams working across a variety of live events at FRAMELESS London and other permanent and touring FRAMELESS immersive experiences. This role ensures client and stakeholder requirements are accurately captured, technically translated and executed to strict deadlines. This role requires strong project coordination skills, technical understanding of AV & Content workflows and the ability to adapt in a fast-paced client focused environment.
Main Duties
* Working with the AV & Content Project Manager (Events) attend client meetings and document client content requests and AV requirements
* Translating creative concepts into technical tasks, plans and equipment lists
* Ensure assignment of tasks to in-house and freelance AV and content resources
* Providing technical specifications to clients as required
* Attend any meetings with AV & Content Project Manager (Events) where any project changes or confirmations are to be discussed, documenting any changes and proactively feeding into project plan
* Feedback to AV & Content Project Manager (Events) any issues around alignment of expectations with potential time, access and costs where applicable
* Project coordinate AV requirements for FRAMELESS Touring projects de-rig and new site set up etc.
* Work with broader internal business stakeholders to document project content and AV requirements for FRAMELESS Creative Projects as required
* Plan all necessary milestones for each project including scheduling AV technicians, managing delivery deadlines and acquiring / processing client / stakeholder deliverables
* Coordinating internal/external AV companies, production agencies and event partners where applicable
* Producing all necessary documentation for project execution
* Performing post-production reviews to identify best practise and any areas for improvement
Experience:
Minimum of 1 years of experience working in events and project management
Qualifications / Pre-requisites:
* Relevant degree or A-level qualification in Business Studies or Project Management preferred.
* Strong oral and written communication skills with a client-centric approach.
* Able to work collaboratively with internal and external stakeholders with strong relationship building skills
* Problem solving / decision making / analytical skills.
* Rigorous, methodical, organised and able to prioritise time effectively.
* Well organised with the ability to juggle conflicting priorities and multitask in a fast-paced environment
* Experience with project management workflows and software tools.
* Proficient IT and technology skills including high command of Office 365 and applications (Word, Excel, PowerPoint, etc.).
* An understanding of digital formats and their applications
* Experience of project management tools and software would be ideal
