The Job We are looking for a proactive and detail-focused Administrator to join our dynamic team. This varied position involves providing comprehensive administrative support to fee earners across a range of dispute matters. Responsibilities include maintaining and updating case files, preparing legal documents, coordinating with clients and internal departments, and assisting with general administrative tasks as required. The successful candidate will play an important role in ensuring the smooth running of cases, maintaining accuracy and efficiency throughout. Strong organisational skills, clear communication, and the ability to work effectively in a fast-paced environment are essential for this role. Coordinate with internal teams (Office Operations, Reprographics, Document Production) to complete tasks efficiently. Handle calls and communications professionally, ensuring a consistent and high standard of service. Print, photocopy, and scan documents as required, including preparing court bundles, deeds, and working papers. Maintain accurate electronic and hard copy filing systems. Support fee earners with administrative tasks such as expenses, cheque requisitions, and other finance-related duties. Manage emails efficiently, responding promptly and filing appropriately. Enter and maintain accurate time-sheets and assist with billing tasks such as preparing pre-bills, editing narratives, and submitting e-bills. Update client and matter details in firm systems and assist with generating client reports when required. Support new business intake, including conflict checks, file openings, and engagement letters. Help organise meetings and events, including room bookings, refreshments, and travel arrangements. Maintain and update client databases and assist with file archiving and retrieval. Provide general administrative support, including handling mail, calls, couriers, and reprographics. Build positive working relationships and provide professional, client-focused service to colleagues and clients. Stay informed about key matters and priorities within the team to ensure effective support. Follow all firm policies and procedures, maintaining confidentiality and attention to detail. Participate in team meetings, firm initiatives, and training sessions to support continuous improvement. Take responsibility for personal development and share best practices with colleagues. Assist with managing client data sites and deeds schedules, ensuring records are accurate and up to date. The Person Minimum of 1 year's experience in an administrative role Strong typing skills with an accuracy of 98% Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. Excellent written and verbal communication skills, with the ability to build strong and professional relationships both internally and externally.
