About The Role

This role is responsible for the day-to-day management and organization of our Smart Places business stream from a programme coordinator perspective and office assistant in Sunderland.

What You’ll Be Doing

* Provide administrative support to the Sunderland team, including correspondence, filing, work requests, and diary management.
* Manage invoices, expense claims, and purchase orders in collaboration with the Finance Team in London.
* Support daily office operations.
* Order and manage inventory and office supplies within budget.
* Handle routine tasks such as email, phone calls, data entry, and paperwork.
* Organize office equipment (phones, voicemail, postal services, copier, fax, printers).
* Prepare meeting rooms for training and meetings; organize luncheons and dinners for the team and clients.
* Welcome visitors and ensure security protocols are followed.
* Assist marketing activities to increase brand awareness and generate leads for business development.
* Support global branding guidelines and marketing initiatives.
* Assist with special events as needed.

What You’ll Bring

* Strong organizational and prioritization skills.
* Ability to work independently and use initiative.
* Effective communication with customers, suppliers, and team members.
* Willingness to learn and develop professionally.
* Proficiency in MS Office (Word, Excel, SharePoint, Outlook).
