Job Overview
This is a fixed‑term/secondment of 12 months to serve as a Site Secretary within the Women’s Directorate at Glan Clwyd Hospital. Candidates must obtain permission from their current line manager before applying.
The Site Secretary will support the General Manager, Matrons, Ward Managers, Lead Manager and Senior Midwives in managing the department’s administration and in providing a secretarial service as required. Key duties include coordinating corporate and central meetings, booking rooms, compiling agendas and transcribing minutes. The successful candidate must be resilient, detail‑oriented, courteous, possess strong communication skills and demonstrate the ability to produce high‑quality documentation and minutes within deadlines.
The ability to speak Welsh is desirable; Welsh and/or English speakers are equally welcome to apply.

Detailed Job Description and Main Responsibilities
* Maintain up‑to‑date knowledge and understanding of the issues and responsibilities of Senior Managers.
* Schedule and arrange meetings, invite attendees, and secure suitable venues and refreshments when required.
* Manage the Lead Manager and Matron’s electronic diary – making appointments, booking meetings, sending apologies and revisions, prioritising as necessary.
* Ensure the Lead Manager and Matrons are fully prepared with required documentation before meetings.

Qualifications and Knowledge
Essential criteria
* Typewriting/Word Processing qualification – RSA III or equivalent.
* GCSE A‑C English & Maths, or equivalent experience.
Desirable criteria
* NVQ Business Administration Level 2 or equivalent.
* Knowledge of Microsoft Office packages – Word, Excel, Outlook.
Experience
Essential criteria
* Comprehensive clerical/secretarial experience.
* Experience coordinating administrative activities.
Desirable criteria
* Previous NHS experience.
* Experience setting up and using filing/IT systems.
* Ability to manage high levels of communication and interaction with other departments and agencies.
