About the Role
We are seeking a highly organised and detail-focused Fleet and Procurement Administrator to join our team on a 12-month fixed-term contract. This dual-role is critical in ensuring DeterTech meets its legal obligations in fleet compliance and in supporting the wider procurement team with administrative excellence. You will help us work towards achieving Logistics UK Van Safe accreditation and play a key role in driver performance monitoring using systems such as Lightfoot. Alongside fleet responsibilities, you will also assist in maintaining efficient procurement processes, supplier records, and purchasing controls.
Key Responsibilities
Fleet Compliance Administration
* Maintain up-to-date records of vehicle servicing, MOTs, insurance, tax, and repair schedules to ensure legal compliance.
* Monitor driver documentation (licences, medicals, CPC) and ensure regular audits.
Lightfoot Monitoring and Driver Performance
* Manage the Lightfoot telematics platform to monitor driving behaviour and safety.
* Produce reports, flag concerns, and escalate repeat issues for performance management.
Accreditation and Risk Management
* Support activities towards achieving and maintaining Logistics UK Van Safe accreditation.
* Ensure consistent documentation and evidence are available for external audits and compliance reviews.
Procurement Administration
* Process purchase orders and requisitions, track supplier performance, and maintain accurate procurement records.
* Support onboarding and due diligence for new suppliers including document management.
Operational and Administrative Support
* Liaise with internal teams and external providers to ensure seamless delivery of fleet and procurement services.
* Assist with accident reporting, insurance claims, and cost tracking related to fleet operations.
Skills, Knowledge and Expertise
* Fleet Administration: Experience in managing vehicle compliance and maintenance schedules and using systems such as R2C.
* Driver Performance Monitoring: Familiarity with Telematics systems to track and report on driving standards.
* Procurement Support: Knowledge of or willing to learn procurement processes including PO management, supplier onboarding, and invoice matching.
* Attention to Detail: Strong focus on compliance, data accuracy, and process control.
* Communication Skills: Able to liaise effectively across departments and with external partners.
* Organisation & Time Management: Ability to manage multiple priorities and work independently to deadlines.
