A fantastic opportunity has arisen at BuryHospice for a Clinical Support Administrator to join our amazing clinicalteams, working across the Inpatient Unit and the Community Services. This is an extension too and insupport of the existing Inpatient Unit Ward Clerk.
This role is part-time, 22.5 hours per week to be worked over 3 days (possibility of working set days), with the potential to increase hours in the future.
Main duties of the job
Provide a comprehensive clinical administrative service tosupport clinical services in the hospice setting.
To work within the policy framework of the hospice in theprovision of specialist palliative care by supporting clinical services,predominantly inpatients, in ensuring that all administrative duties arecarried out accurately and efficiently.
Maintain confidentiality & data protection regarding allpersonal information and hospice activity, operating within currentlegislation.
Establish and maintain excellent communication systems withinternal colleagues and external referrers/stakeholders to support timely andefficient admissions, service provision and discharges.
Our Inpatient Unit provides a calm and caringenvironment for our patients and visitors. Our Community services offer care topatients in their own homes, providing respite, support with personal cares anda night sitting service. Job responsibilities
MAIN DUTIES& RESPONSIBILITIES
* To provide a physical presence at the Inpatient Unitreception desk, meeting and greeting patients and their loved ones, includingassisting with any patient queries and supporting any visitors or patients whomay be distressed.
* To work within the hospice and service protocols andprocedures to deliver a quality administration service for clinical services.
* To take telephone calls from patients, their lovedones, health professionals and support services, sharing the relevantsensitive, confidential and complex information and accurately documentingnecessary points.
* To maintain accurate information of the clinicaldatabase, particularly with admissions, discharges and deaths.
* To organise meetings, including invitations,agendas, and take minutes, ensuring these are circulated in a timely manner.
* Receives admissions, assists with organisation ofdischarges/appointments communicating with other departments as required.
* Participates in the induction of staff.
* Uses the ward NHS email account for out of hourprescriptions, continuing health care information, liaison with outsideagencies.
* Liaises with internal and external organisations,colleagues and professionals as required
* Takes the initiative when reporting adversecomments, complaints, untoward incidents and faulty equipment to Senior WardStaff / Clinical Lead Inpatient Services.
* Participates in the collection of data for wardaudits as required
* Demonstrates awareness of the need to implement costeffective measures when using resources
Communication
* Maintain positive and effective communication andrelationships with patients, their loved ones and all other professionals toenhance a dignified and high standard of care provision
* Understanding of the need for effectivecommunication in discussing end of life care with individuals reaching the endof life and those close to them
* Give information in a sensitive and planned way toallow time and privacy. Language should be clear and understandable, avoidingjargon. Written information may be given to family to take away.
* Communicate complex and sensitive patientinformation to colleagues within the primary healthcare team and to othermulti-disciplinary team members.
* At all times have an awareness of potential barriersin communication, understanding how to overcome these barriers, to maintaineffective communication and equity of service provision.
Educationand Training
* Support the induction of new staff.
* Support clinical teams in the use of I-Care
PersonalDevelopment
* Take responsibility for own learning and developmentand participate willingly in training and development activities andproactively identify any training needs and discuss with manager.

Line Manager and Colleagues - Communicatesclearly and regularly discussing, reporting and sharing key information aboutpatients and their loved ones. Working collaboratively across the Hospice inthe best interests of the patient.
Hospice Multidisciplinary Team andVolunteers - Work collaboratively across all disciplines anddepartments to provide timely information to patients and their loved onesensuring care is effective and coordinated.
Senior Management Team and theRegistered Manager - Work in collaboration to ensure patient quality and safetyis a high priority.
Frequent contact with externalagencies such as Greater Manchester Integrated Care Board,Hospitals within Northern Care Alliance, Primary Care Services, NorthwestAmbulance Service, Continuing Health Care, Funeral Directors, Nursing agenciesand Nursing Homes- Establish and maintain good working relationship withcolleagues, so as to provide a comprehensive service to patients and loved onesto enable good liaison and share best practice.
Students across all disciplines providing alearning environment by supporting and providing I-Care induction.
Trustees and donors ensuring apositive message is communicated about clinical services.

Person Specification
Qualifications
* Level 3 NQF or BTEC qualifications or able to demonstrate vocational training equivalent to level 3 and or equivalent practical experience.
* Business and Administration Qualification.
Knowledge, Skills, and Attributes
* Familiar with the Data Protection Act 2018 requirements
* and other relevant legislation.
* Excellent communication skills, organisational and customer service skills.
* Advanced verbal communication skills including where there may be barriers to communication i.e. patients who are hard of hearing, upset, angry or distressed.

* Confident in use of Microsoft Office.
* An understanding of Palliative care and Hospice care.
