About Us
Auchenblae Medical Practice is a Dispensing Practice with a population of approximately 2300 patients based in the picturesque rural village of Auchenblae, Kincardine and Mearns. We are a well-established surgery committed to delivering excellent patient-centered care. We value continuous improvement and explore new ways of working for the benefit of our patients and staff.
The Practice is conveniently located near the A90 and AWPR, close to Aberdeen City and Tayside.
The Vacancy
We are pleased to advertise for a Clinical Administrator to join our dynamic team. This position is available due to increasing patient demand and involves supporting 20 hours per week, ideally on Monday, Tuesday, Thursday, and Friday from 1pm to 6pm. Additional hours may be required occasionally to cover staff absence.
This is a fixed-term role with the potential to become permanent after six months.
We seek a passionate, self-motivated, and caring individual who is process-driven, adaptable, professional, flexible, and possesses excellent organizational and communication skills with good attention to detail. This role suits someone who thrives in a busy, varied environment.
Duties
* Be the first point of contact for patients and visitors, ensuring queries are handled promptly and professionally.
* Provide administrative support to patients and the Practice Team.
* Triaging emergency appointments and managing routine bookings on our clinical system.
* Signposting patients to appropriate services.
* Managing clinical documents and ensuring they are processed efficiently.
* Registering new patients and supporting online service accounts.
* Conveying test results and clinical messages to patients.
* Assisting with prescriptions and medication dispensing.
* Coordinating digital blood pressure monitoring and patient accounts.
* Transcribing digital dictation for referrals and correspondence.
* Managing Chronic Disease Management communications.
* Supporting operational projects, including process mapping and IT system implementation.
* Updating the Practice website and social media.
* Maintaining accurate patient information databases.
Person Specification
* Excellent interpersonal, communication, and listening skills, with empathetic patient interactions.
* Ability to build trustworthy relationships internally and externally; a good team player.
* Strong organizational skills, effective time management, and the ability to prioritize calmly under pressure.
* Resilient and professional in challenging situations.
* Trustworthy with confidentiality.
* Experience in General Practice/Health Sector is desirable but not essential.
* Proficient in Microsoft Office; experience with Vision and Docman is advantageous.
