Seeking an organised and proactive Site Administrator to join the team on-site in Weybridge. The successful candidate will support the daily administration and coordination of site operations, ensuring that documentation, reporting, and communications are handled efficiently.
This is a hands-on administrative role within a busy construction environment, requiring strong attention to detail, good IT skills, and the ability to manage multiple priorities simultaneously.
Key Responsibilities
Site & Project Administration
*
Email weekly Friday Packs to all subcontractors.
*
Check subcontractor portals and ensure all waste tickets are logged correctly.
*
Enter all RIO tickets into the system and maintain up-to-date spreadsheets (email weekly/monthly).
*
Scan, upload, and file all site documents, including inductions, POWRAs, and paperwork.
*
Conduct morning site inductions – collect details, register fingerprints, and file induction records.
*
Maintain Headcount Spreadsheet monthly and Labour Figures daily and weekly.
*
Scan and file all waste tickets and Friday packs.
Supplies & Resources
*
Order cleaning materials, stationery, PPE, and signage as required (from CMT, Banner, ARCO, Nuneaton Signs, etc.).
*
Prepare and issue PPE kits for visitors, new starters, and work groups.
*
Print and maintain visitor and induction forms.
Systems & Reporting
*
Update Biosite with relevant training cards and certificates.
*
Enter and update data in RIO and extract information from Procore.
*
Email Drug Test forms daily to Barbara.
*
Maintain the Meeting Room Spreadsheet and book client meetings through the Meeting Room Portal.
General Duties
*
Support the project and site management teams with general administrative and reporting tasks.
*
Ensure all digital and paper records are maintained to a high standard.
*
Carry out ad hoc admin duties as required to support the smooth running of the site.
Skills & Experience
*
Proven experience as a Site Administrator, ideally within construction or logistics.
*
Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable using systems such as Procore, Biosite, and RIO.
*
Strong organisational skills with the ability to manage a busy workload.

Excellent attention to detail and data accuracy.
