Role Summary
As a Corporate Receptionist/Front of House Coordinator, you will be the first point of contact for clients, visitors and employees. You will provide exceptional customer service, maintain a clean and secure environment, and support a wide range of administrative and safety duties.
Key Responsibilities
 * Greet visitors with a warm, friendly demeanour and direct them to the appropriate internal teams.
 * Answer and direct incoming calls efficiently and courteously.
 * Maintain the reception area – ensuring cleanliness, organisation and a professional appearance at all times.
 * Provide a site safety brief to everyone signing into the building.
 * Assist with client events and support any temporary or permanent staff in the front of house.
 * Complete online Fire Warden Training and support building evacuation procedures.
 * Conduct weekly stock checks and order required stationery for the front of house.
 * Train new and temporary team members on reception duties.
 * Ensure all Network Rail Signature health and safety posters, leaflets and folders are up-to-date.
 * Report faults or health and safety concerns to the relevant department.
 * Collaborate with receptionists, WPM team, Security, FM and administrative staff to ensure smooth operations.
 * Monitor and control access to the premises, issue visitor badges and remain vigilant for suspicious activity.
 * Provide personalised assistance and handle inquiries, resolving issues promptly.
 * Assist with administrative tasks such as sorting mail, managing courier deliveries, booking meeting rooms and responding to the Reception Inbox.
 * Maintain electronic and physical filing systems to support efficient record‑keeping.
 * Support other departments with various administrative duties as needed.
 * Adhere to company uniform guidelines, maintaining a neat and professional appearance.
 * Complete front of house checks (meeting rooms, kitchen supplies, printer and paper levels, fire extinguishers, first aid boxes, fire doors and confidential bins).
 * Complete building inductions and weekly checks of all fire doors.
 * Read and sign the site SOP & Uniform standard; follow absence management process; complete mandatory training.
Person Specification – Experience & Qualification
 * 2 years’ previous customer service experience within a reception, switchboard or room booking environment (training will be provided if experience is not required).
 * Qualified First Aider or willing to undertake a course.
 * A level or equivalent (or 2 years of reception/administration experience).
Skills and Knowledge
 * Strong written and verbal communication skills.
 * Proficiency with MS Outlook, Word, Excel and PowerPoint.
 * Ability to interact confidently with all levels of the business and guests.
 * Excellent organisational and multitasking abilities with a keen attention to detail.
 * Composure and professionalism in fast‑paced or challenging situations.

Health and Safety responsibilities
 * Follow Group and company policies and procedures at all times.
 * Report any apparent deficiencies in systems of work or equipment that may result in failure of service delivery or risk to health and safety or the environment.
 * Use all work equipment and personal PPE properly and in accordance with training received.
 * Report any issues or training needs to your Line manager and /or via your divisional incident reporting system.
