We are seeking a highly organised and proactive Events Consultant to support the planning, coordination and delivery of events that showcase our innovative solutions and strengthen relationships across the defence sector.

The role: Keep our events running seamlessly
Reporting to the Events Manager, Defence, you will provide essential administrative and logistical support across 40+ events and exhibitions annually — from major international trade shows to customer briefings and internal gatherings. You will be the organisational backbone of the events team, ensuring everything behind the scenes runs smoothly so that every event leaves a lasting impression.
This is a hands‑on role that sits at the heart of the team, supporting the full event life cycle from initial planning through to on‑site delivery and post‑event wrap‑up.
Your responsibilities
Event Logistics & Coordination
* Support the planning and execution of international event logistics, from initial scoping through to on‑site delivery.
* Coordinate supplier bookings, deliveries and on‑site requirements, maintaining clear timelines and action logs.
* Liaise with external suppliers and venues to confirm arrangements and resolve issues promptly.
* Prepare event materials including schedules, signage, delegate packs and equipment lists.
* Work closely with the international sales team to align event activity with business development priorities, ensuring events support customer engagement and lead generation objectives.
* Serve as the central point of contact for the organisation on defence events, providing clarity and coordination across internal stakeholders.
* Partner with the wider Defence Marketing & Communications team to ensure events are treated as a fully integrated part of the marketing and communications programme — not siloed activity — with consistent messaging and joined‑up delivery across every touchpoint.
Administrative Support
* Maintain event documentation, databases and shared folders to ensure the team always has accurate, up‑to‑date information.
* Track budgets, invoices and purchase orders, ensuring timely processing and flagging variances.
* Manage event registrations, guest lists and attendee communications with accuracy and professionalism.
On‑Site Event Support
* Provide hands‑on support during event setup, delivery and breakdown — this is a role that requires genuine presence and ownership on the ground.
* Must be prepared to travel internationally to represent Systematic at events across our global programme, including major defence trade shows and exhibitions.
* Act as the primary on‑site point of contact for suppliers, staff and attendees, ensuring clear communication and swift resolution of any issues.
* Liaise closely with event organisers and our external event management company before and during events to coordinate logistics, manage timelines and ensure seamless execution.
* Take personal pride in how Systematic is presented — ensuring our stands and event spaces are always immaculate, on‑brand and ready to make the right impression from the moment doors open.
* Troubleshoot issues quickly and professionally, remaining calm and solutions‑focused under pressure.
The team: Join a collaborative and global team
You will be a member of the Defence Marketing & Communications team, spread across locations in Denmark, Germany, US and the UK. Your primary workspace will be our Farnborough office, working alongside colleagues in the UK while collaborating daily with the wider international team. This role offers a genuine opportunity to work in a truly international environment, supporting events that matter to defence organisations across more than 50 nations.

Strong organisational skills, a proactive mindset and a passion for delivering excellent events.
You bring proven events experience — ideally gained in an events, operations or professional services environment — and a track record of managing competing priorities with accuracy and calm. You understand that great events depend on great preparation and you take ownership of the details that make the difference.
We are also looking for someone who:
* Is highly organised and able to juggle multiple workstreams without losing sight of the detail.
* Communicates clearly and professionally – in writing and in person – with suppliers, colleagues and attendees.
* Is confident using Microsoft Office and CRM tools, and picks up new systems quickly.
* Remains calm under pressure and finds practical solutions when things dont go to plan.
* Is flexible and willing to pitch in wherever needed, including occasional international travel and out‑of‑hours support.
* Brings a positive, collaborative attitude and takes pride in their work.
Desirable (but not essential):
* Previous experience in events logistics or event coordination.
* Familiarity with project coordination tools or CRM/registration platforms.
* Experience working with external suppliers and venues.
