Medical Receptionist

Location: Academy Medical Centre
Hours: 37.5
Salary: £25,141 (depending on experience)

We are looking for a motivated and adaptable individual to join our team in a hybrid role that combines administrative responsibilities, medical reception duties. This position is key to ensuring smooth patient flow and supporting our clinical and management team.

Key Responsibilities

Reception Duties

1. Welcome patients and visitors politely and professionally, ensuring privacy and dignity are maintained.
2. Handle incoming telephone calls, dealing with patient, carer, staff, and external organisation queries; take appropriate action or redirect to relevant personnel.
3. Process appointment requests (face-to-face and by phone) and manage clinician schedules efficiently.
4. Assist the Practice Manager with general clerical and administrative tasks.
5. Handle repeat prescription requests in line with practice guidelines.
6. Manage incoming and outgoing mail and emails according to practice policies.
7. Maintain accurate patient records, updating information as required.
8. Communicate effectively with clinical staff and external healthcare professionals to support continuity of care.
9. Provide cover for all reception positions when required.

Administrative & Basic Secretarial Support (Secondary Focus)

10. Provide routine typing support for letters, reports, referrals, and other documents as required.
11. Assist with organising and maintaining secure filing and recordkeeping systems.
12. Support clinicians and management with straightforward administrative tasks that complement the reception role.

Educational & Development

13. Participate in Personal Development Plan reviews and annual appraisals.
14. Attend mandatory training and maintain accurate training records.
15. Contribute to implementing new ideas and innovations within the practice.

Requirements

16. Previous experience as a medical receptionist or secretary (desirable).
17. Knowledge of medical terminology and procedures.
18. Excellent communication and interpersonal skills.
19. Strong organisational and multitasking abilities.
20. Proficient IT skills and experience with clinical systems (Vision, Docman, Windows 365, iGPR, Lexacom).
21. Ability to handle confidential information with discretion.
22. Attention to detail and accuracy in data entry.

Challenges of the Role

23. Managing distressed or anxious patients with empathy and professionalism.
24. Working under pressure during busy periods.
25. Maintaining concentration and accuracy in a fast-paced environment.
26. Youre expected to switch quickly between tasks without making errors
27. You may need to interpret medical terms, know which clinician handles which condition, or understand referral pathways.
28. Following strict data-protection laws like GDPR.

Health & Safety

29. Comply with practice Health & Safety and Infection Control policies.
30. Identify and report risks promptly.
31. Maintain clean and safe work areas.
