Job Title: Data and Finance Admin Assistant
Responsible to: Head of Funding and Finance
Hours: 30/37 per week, Monday – Friday (some weekend & evening flexibility may be required), Fixed term until March 2026, with possibility of extension
Salary: £25,704 (Full Time Equivalent)
Benefits: 25 days (rising with length of service), plus statutory holidays

Edberts House is a vibrant community charity delivering four place-based projects across Gateshead. Alongside this, we run a social prescribing team embedded within primary care and working in collaboration with secondary care midwives and palliative care services. Job Purpose
The Data and Finance Admin Assistant plays a key role in maintaining financial accuracy and supporting high-quality data systems that underpin the work of Edberts House.
The role involves accurate data entry and assisting with monitoring and data reporting, maintaining financial records, assisting with invoicing and payment procedures, and contributing to a range of administrative functions.
This role is ideal for someone with great attention to detail, a methodical and organised approach, and the ability to work both independently and collaboratively. You will be a friendly proactive team member, open to sharing ideas and offering creative solutions that help improve efficiency and reduce administrative pressures across the organisation.
Key Responsibilities
Finance Support (approx. 2.5 days per week)
* Maintain accurate purchase ledger records, (invoices, credit card transactions).
* Process and reconcile income and petty cash transactions across the community houses.
* Assist with payroll admin, including inputting payroll data for authorisation.
* Assist staff with expense claims, with appropriate documentation, ensuring claims are processed in a timely manner.
* Prepare and log purchase orders and payments.
* Set up online payments (including payroll) for authorisation.
Data Admin & Monitoring (approx. 1.5/2.5 days per week)
* Support the development and maintenance of organised, clear data management systems.
* Ensure data quality across our Community Houses and Social Prescribing projects, in line with funder requirements.
* Help compile reports for funders and stakeholders.
Administrative Support
* Provide general administrative support to the finance and data teams (filing, printing, and record keeping.)
* Support GDPR compliance through secure data storage and handling.
Team & Organisational Contribution
* Collaborate with colleagues to improve admin systems.
* Actively contribute to improving financial and data administrative systems for greater efficiency.
* Any other reasonable duties as required by your line manager or the COO.
Working Conditions
This is a hybrid role, requiring on-site presence approximately one day per week. This arrangement will be kept under review to ensure it continues to meet the needs of both the employee and Edberts House.
