Main duties of the job

Reportingdirectly to the Chief Executive, you'll build strong relationshipsthroughout the organisation and among our partners. You'll provide the Chief Executive and ourboard with financial insight, forecasting, financial modelling, and analysis thatsupports our decision-making around funding, programme and operationaldevelopment, and you'll work with colleagues to help them maintain theirbudgets, offering internal training where appropriate.

Managingour assets and identifying potential risks and opportunities for growth, youwill look after our payroll and other processes and provide accurate and timelyreports.

The Head of Finance will workclosely with our Chief Executive, ensuring first class financial management androbust financial controls, as well as playing a significant part in themanagement and strategic planning of the business. The Head of Finance will beresponsible for financial modelling, financial reporting, control andforecasting. The successful candidate will maintain good external relationshipswith partners, assist the Chief Executive with contract management matters, and presentfinancial information to the Ways to Wellness Board of Non-ExecutiveDirectors and Trustees. The postholder will be responsible for statutoryaccounts preparation, compliant with the Charities Act, Charities SORP andother applicable legislation.

Financial modelling and strategic support

Ensure a sound understanding ofthe Ways to Wellness operation, taking the lead on updating and adaptingthe financial model to support the CEO/board as they continue to shape theorganisation.

Completefinancial modelling and advanced financial analysis to support strategicdecision-making and the development of business cases.

Prepareand advise on appropriate levels of core costs recovery within projects.

Proactivelyappraise any opportunity to strengthen the financial viability of Ways toWellness.

Supportthe CEO in ensuring that any contract negotiations are underpinned by soundfinancial thinking.

Project costingand contracting

Providefinancial advice and assistance in early draft contracts and service levelagreements, to include costings, payment mechanisms, VAT position, financialrisk, insurance cover and price review.

Liaisewith funders to secure timely payment of project funding.

Provideassistance and advice in determining the level of information provided toclients as part of the delivery of projects.

Financial Reporting, controls and forecasting

Proposeand seek board approval for the budget annually.

Producemonthly management accounts for projects. Clearly identify variance to plan,explaining any significant departures and remediation plans as indicated.

Provideregular forecasts for the current financial year and beyond, to ensure clarityof outlook given the latest assumptions and trends.

Verballyupdate the board quarterly on financial performance versus plan.

Provideregular reporting to funders (investors and commissioners) as required.

Ensurerobust financial controls are in place within the organisation.

Produceregular and robust cashflow forecasts.

Placesurplus cash on deposit to meet trustees requirements for risk/return.

Companysecretarial duties, ensuring all updates to Companies House, the CharitiesCommission and HMRC, and filing of returns are correct and carried out on time.

Consolidateacquisitions into Ways to Wellness Foundation accounts.

Accounting and processing

Preparemonthly payroll and arrange accurate/timely payment of staff, pensions andtaxes.

Processsupplier invoices onto the accounting system purchase ledger.

Calculatenecessary accruals and post journals to create period accounts.

Ensuremonthly bank reconciliation and submit quarterly VAT return for group.

Charity taxation, includingVAT, maximising income through Gift Aid and charitable trading.

Manage accounting, monitoringand reporting systems, ensuring all key data is correct and accurate. Liaisewith service providers to ensure accuracy of data and subsequent billing.

Ensure the charity is coveredby appropriate insurance level, scope and exposure of insurance coverincluding special projects with partners (including third party liabilities)

Maintaingood external relationships with key financial contacts, e.g. auditors,solicitors, bankers, funders, etc.

Ensurestatutory reporting requirements are met facilitate the audit process andproduction of annual accounts.

Keepabreast of changes in financial regulations and legislation including charitysector and public sector reporting.

Data analysis

Contributeto financial aspects of IT systems development.

Dataanalysis to inform payments and reporting.

Staffand office management

This position will be part ofthe Ways to Wellness Senior Management Team, so there is a requirementfor flexibility around sharing tasks and assisting other team members in theirduties and with general office management.

Other duties

Support and where necessarydeputise for the chief executive to ensure wider organisational requirementsare met, including supporting strategic analysis, planning and decision-making.

Assist the chief executive withcontract management and partnership working with service providers, funders andcommissioners.
