Job Role:
Taylor Woodrow is recruiting for a Visitor& Events Coordinator to join the joint venture responsible for theconstruction and delivery of HS2’s Old Oak Common station in North West London. The circa £1bn project will include thedelivery of six underground platforms as well as up to eight platforms on theadjacent Great Western Main Line.
Reporting tothe Community Engagement Manager, the Visitor & Events Coordinatorwill be responsible for supporting the team with the coordination ofvisitors to Old Oak Common Station.
Duties:
·Take a lead role in co-ordinating VIP visitor events on the OldOak Common Station Project. This will include but is not limited to organisingvisitor passes, catering, visitor parking and visitor PPE
·Support the wider project team by adopting a strategic approach tovisitors and streamlining project visits.
·Organise media consent forms between the client and visitors
·Manage the Visitors Centre booking calendar
·Co-ordinate the required resources and attend community engagementevents such as public exhibitions and community meetings (including someevenings and weekends – time off in lieu will be provided).
·Maintain good working relationships with all parties associatedwith the project, including HS2 stakeholders and the local community.
·Administer and maintain the project community engagement databaseand HS2 SRM database.
·Update the project enquiries and complaints database.
·Maintain and produce written records in relation to communityliaison activity including producing debrief notes following stakeholdermeetings.
·Support the HS2 and project team survey process as well as assistingin implementing corrective actions based on feedback received.
·Assist with high-quality communications materials on the project,including the preparation and issue of team newsflashes, project newsletters,team briefings, presentations, award submissions and posters.
·Support the team by contributing to the provision of weeklyactivity reports and three-monthly PMU reports.
PersonSpecification:
·Previous experience in event coordination
·Excellent customer service skills is essential
·Proven ability to build strong relationshipswith internal stakeholders and the local community.
·Knowledge of Customer Relationship Management(CRM) system is advantageous.
