POSITION SUMMARY:
Provide administrative support for all freight planning and processing activities across air, sea, and road transport on a global scale. This includes accurate documentation, understanding international customs regulations, and managing online freight portals. Additional responsibilities include assisting other members of the supply chain team as needed.
KEY DUTIES & RESPONSIBILITIES:
1. Support the end-to-end shipment process, from receipt of collection/shipping instructions to delivery at the designated port or inland location.
2. Maintain accurate records of all freight documentation.
3. Coordinate shipments across air, sea, and road, ensuring compliance with customs regulations.
4. Work closely with Procurement, Sales, and Freight Agents to meet customer delivery expectations.
5. Communicate with suppliers and warehouses post-order to coordinate shipments and address customer requirements.
6. Keep internal stakeholders informed throughout the order lifecycle, highlighting schedule changes and adapting to new requirements.
7. Liaise with shipping lines and freight forwarders to ensure compliance and timely receipt of transport documents.
8. Arrange third-party documentation via shipping line accounts, Chambers of Commerce, and trade portals.
9. Prepare and dispatch shipping documents to customers or banks according to payment terms.
10. Create and manage purchase orders with freight partners.
11. Adjust sales order shipment dates if estimated arrivals do not match requested delivery dates.
12. Manage online freight portals for visibility of in-transit stock and update ERP systems with accurate delivery information.
13. Provide general administrative support to the global planning team as needed.
14. Assist Purchasing in expediting goods from suppliers.
15. Review US purchase orders monthly to identify potential expedites or deferrals, coordinating actions with the supply chain team.
