The RTR Group are a growing electrical and multi-trade maintenance company, committed to delivering high-quality services to our clients. With a strong focus on customer care and operational excellence, we are now looking to introduce a dedicated Scheduler/Planner to strengthen our team.
This role builds on the responsibilities of a Maintenance Coordinator, but with a specialism in scheduling and resource management for electrical and multi trade engineers. You will be the key link between clients, engineers, and your office colleagues to ensure smooth workflows and effective service delivery.
Our ideal candidate would have extensive knowledge of scheduling and be able to work on their own initiative. You'd have excellent administrative and time management skills, gained within a fast-paced environment with the ability to adapt to change quickly. You'd be an advocate for continuous improvement, looking for ways to simplify and improve processes to ensure the customer receives the best resolution.
Key Responsibilities
* Plan, coordinate, and manage engineers' daily and weekly schedules across multiple trades.
* Allocate jobs efficiently using company platforms, ensuring the right engineer is matched to the right task.
* To create new jobs ensuring that all details are correct.
* Escalate scheduling issues, delays, or resource shortages to management, proposing solutions.
* Contribute to regular team meetings to improve service delivery, efficiency, and client satisfaction.
* Support the coordination of delivery of materials for scheduled jobs.
* Provide out-of-hours support on a rota basis, including weekends.
* Support with general administrative and office duties as required.
* Liaise with clients, tenants, landlords, and subcontractors to confirm access and update on job progress.
* Track and monitor jobs through to completion, ensuring service level agreements (SLAs) are met.
* Collect and process information from engineers to support the preparation of client quotes.
* Handle quoting, bidding, and tracking of works, ensuring accurate records are maintained.
Skills & Experience Required
* Proven experience in planning, scheduling, or coordinating within a maintenance, facilities, or engineering environment (preferred).
* Strong organisational skills with the ability to prioritise and manage multiple tasks in a fast-paced environment.
* Excellent communication and interpersonal skills to build strong working relationships with clients, engineers, and colleagues.
* Proficiency in Microsoft Office (Excel, Word, Outlook) and scheduling/CRM platforms.
* Ability to work under pressure, meet deadlines, and adapt to changing priorities.
* Strong problem-solving skills with a proactive and solution-focused approach.
