An exciting opportunity has arisen for a Medical Receptionist to join our Practice team. This is a very demanding but interesting position.

Thepurpose of the role of Medical Receptionist is to prove efficient andeffective reception and clerical support to the Practice, exercising absolutediscretion and confidentiality, to ensure the smooth running of surgeries andother services provided to patients

Workingas part of the reception team, the post is Full Time 37.5 hours per week over4 days Monday to Friday on a rota basis. Usually 10 hours per day for 3 days,7.5 hours per day 1 day with a rotating day off.

Wewill also consider Part Time applicants however they must be able to workbetween the hours of 7:45 and 18:30 on a shift rotation.

Providing a comprehensive reception service, responding to a range of enquiries in a polite and efficient manner, adhering to practice protocols and dealing with difficult situations in a calm and controlled manner.

Dealing with all telephone requests and enquiries in a courteous and efficient manner, signposting patients to appropriate services, ensuring messages are relayed in a timely manner, particularly those requesting urgent advice.

Taking comprehensive details for patients requesting home visits and ensuring that these are recorded in accordance with the protocol to allow steps to be taken for triage.

Dealing with prescribing requests, ensuring that scripts are ready for issue within agreed timescales or, if the patient needs to be seen, arranging appropriate follow-up.

Ensuring that any change of patient details are recorded accurately and actioned on the computerised record system.

Registering new patients, explaining practice arrangements for new patients seeking care, ensuring that all documentation is fully completed

Attend all statutory training courses as required.

Job responsibilities

Responsibilities

Dealing with all appointments and patient requests, ensuring thatsurgery time is effectively utilised, allocating prebookable and urgentappointments appropriately and monitoring the flow of patients duringsurgeries.

Carrying out all clerical tasks to prepare for surgery sessions,ensuring that clinical staff have the patient documentation necessary toundertake consultations and procedures efficiently.

Providing a comprehensive reception service, responding to a rangeof enquiries in a polite and efficient manner, adhering to practiceprotocols and dealing with difficult situations in a calm and controlledmanner.

Dealing with all telephone requests and enquiries in a courteousand efficient manner, referring callers to appropriate personnel andensuring messages are relayed and in a timely manner, particularly thoserequesting urgent advice.

Taking comprehensive details for patients requesting home visitsand ensuring that these are recorded in accordance with the protocol toallow steps to be taken for triage.

Dealing with prescribing requests, ensuring that scripts areapproved, prepared, signed and ready for issue within agreed timescalesor, if the patient needs to be seen, arranging appropriate follow-up.

Maintaining manual patient records in a tidy, accurate and up todate condition (both individual files and the overall filing system),tracking missing folders and documents as required by clinical staff.

Ensuring that any change of patient details/personal circumstancesare recorded accurately and actioned on both the manual and computerisedrecord system.

Undertaking a variety of clerical tasks in support of patientservice activity including ambulance bookings, insurance and benefitdocumentation, vaccinations, breast screenings etc.

Explaining practice arrangements and requirements for registrationand arrangements for new patients seeking care, ensuring that alldocumentation is fully completed

Attend all statutory training courses as required.

Working Relationships

Interaction with colleagues in the reception,secretarial and admin team

Reports to Team Leaders/ Deputy Practice Manager

Liaises with nursing team and medical/clinical personnel

Qualifications


Essential

* GCSE grade A to C in English and Maths
* Minimum of 2 years experience in a patient/customer focussed role
* Confident in the use of computers and other technologies
* Excellent Communication & Organisational skills
* Flexible and Adaptable


Desirable

* Experience in a similar role within a healthcare setting
* Experience in using Emis Web
