Management Team Secretary

We are seeking an organised, proactive and detail-focused Management Team Secretary to provide high-quality administrative and workforce support within the Division of Clinical Specialty Services.
The postholder will play a key role in supporting safe and effective recruitment across nursing and administrative staff, coordinating the full recruitment lifecycle from vacancy approval through to appointment. This includes managing pre-employment checks, maintaining accurate recruitment records, issuing contracts, and ensuring timely and accurate ESR and payroll updates in line with Trust policy and employment legislation.
You will act as a central point of contact for recruiting managers, providing advice and support throughout the recruitment process, chasing outstanding actions, and managing a busy shared inbox.
The successful candidate will have strong organisational and communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast‑paced environment. Experience of recruitment administration, ESR, and working within NHS or public sector settings is desirable.

Main duties of the job
* Coordinate the full recruitment lifecycle, including vacancy management, interview arrangements, conditional offers, and post‑interview administration.
* Manage and complete pre‑employment checks, including DBS, Right to Work, Occupational Health clearance, professional registration, references and qualification verification.
* Maintain accurate electronic recruitment records, audit files for compliance, and ensure adherence to Trust policy, employment legislation and GDPR.
* Issue contracts of employment and contract change letters, ensuring payroll deadlines are met.
* Accurately update and maintain the Electronic Staff Record (ESR) and recruitment tracker reports.
* Act as a key point of contact for recruiting managers, providing advice, chasing actions and managing the recruitment inbox.
* Process HR and workforce administration tasks such as maternity leave, career breaks, changes to hours or grade, retire and return arrangements, and terminations.
* Provide general administrative and secretariat support, including meeting coordination, preparing correspondence, reports and minutes, and handling divisional enquiries.

Person Specification
Knowledge & Experience
* Previous secretarial experience
* Good audio typing skills and able to take concise minutes
* Understanding of information governance/confidentiality procedures
* Computer literate with knowledge of basic MS Office Packages
* Experience of working in a busy environment as a team
* The ability to prioritise and work to deadlines
* Knowledge and experience with E-Recruitment and ESR
Qualifications & Training
* GCSE English Language or equivalent
* RSA Stage II Word Processing or equivalent experience
* NVQ Level 3 in business administration or equivalent experience in the Recruitment field
