Job Overview
We are seeking an enthusiastic, organised and well‑motivated individual with extensive administrative and secretarial experience to provide personal assistance (PA) support to the Senior Divisional Management Team within the Medicine Division. The post holder will support the Divisional Operations Director, Divisional Director of Nursing, Clinical Director and other senior managers.
Responsibilities
* Provide PA support to the Divisional Operations Director, Director of Nursing and Clinical Director.
* Administrative assistance to the Senior Management Team in the Medicine Division.
* Work as part of a team to provide full and effective administrative support in accordance with Trust policies and procedures.
* Minute taking, word processing, database/spreadsheet management, meeting coordination and workload prioritisation.
* Demonstrate initiative, independent judgement and decision‑making.
* Liaise with a variety of health professionals, patients, visitors and service users.
* Maintain and coordinate diaries, record leave in e‑rostering, process reports, letters and other documentation.
* Handle confidential business and staff issues.
* Answer telephone enquiries, ensure messages are understood and appropriate action is taken.
* Produce minutes, circulate drafts, prepare supporting papers and take action on arising issues.
* Participate in individual performance reviews and support project work as required.
* Attend meetings, provide feedback, organise senior management meetings and provide administrative support.
* Welcome visitors and provide refreshments.
* Be flexible to cover duties as required.
Qualifications
* Education: GCSE in English and Maths (or equivalent) and word processing skills at RSA/OCR level 2/3 or equivalent.
* Experience: minute taking and typing skills, experience working as part of a multi‑disciplinary team.
* Desirable: experience working in the NHS or similar organisation.
* Essential skills: excellent verbal and written communication, organisational skills, initiative, proficiency in Microsoft Office (Excel and Word).
