Purpose and objectives of the role
The Planner/Scheduler will be responsible for coordinating and optimising maintenance activities for our engineering team to ensure efficient operations, minimise downtime for our clients, and enable them to maintain business continuity. This role entails planning, scheduling, and monitoring maintenance tasks while collaborating with diverse teams and engaging with management at multiple levels.
We are seeking an experienced planner/scheduler to join our Business Support Team. The ideal candidate will be someone who can quickly acclimate to the role and contribute effectively from the outset.
Main duties and responsibilities
Plan, develop, create, and oversee daily and weekly work schedules for all engineers, ensuring all comprehensive coverage of our client contracts work orders are covered efficiently.
Assign engineers to task based on their availability, geographic location, and skillset to optimise productivity and minimise downtime.
Adjust schedules in real-time to accommodate last-minute changes, client requests, or engineer's absences, and ensure that updates are communicated to all relevant teams. Prioritise work based on urgency, resource availability, and operational impact.
Monitor job progress throughout the day and ensure the timely completion of all scheduled tasks.
Ensure Maximo is kept fully up to date with real-time information, including job details, schedules, locations, and any special instructions.
Troubleshoot and resolve any technical issues with the Maximo App.
Maintain regular communication with engineers throughout the day to provide schedule updates, answer questions, and resolve any issues that arise.
Act as the main point of contact for engineers, providing support with client instructions, directions to job sites, and operational guidance.
Communicate with clients as needed to confirm scheduling, manage expectations, and provide updates on the status of ongoing work.
Provide feedback to the operations team on recurring scheduling challenges and suggest improvements to processes.
Accurately enter job details, engineer hours, and other relevant data into Maximo systems, ensuring up-to-date and reliable records.
Prepare daily and weekly reports on technician productivity, completed jobs, and scheduling efficiency for management review.
Monitor and track the performance of the scheduling system and identify opportunities for process improvement.
Work closely with the operations team to align engineer schedules with broader operational goals, including client satisfaction, service quality, and cost efficiency.
Collaborate with the HR department on engineers availability, shift changes, and holiday planning to avoid scheduling conflicts.
Provide input on staffing needs and resource allocation to ensure schedules are covered effectively
Knowledge, skills & experience
Must have a minimum of 3-5 years' experience in a planning/scheduling role
Strong analytical and problem-solving skills'
Excellent organisational skills and ability to handle multiple tasks in a fast-paced environment
Ability to make decisions in a timely fashion, coupled with the ability to investigate and weigh alternatives while understanding root cause analysis/risk mitigation strategies.
Supply chain/Facilities/Hard services understanding and awareness.
Proficient in Microsoft packages.
Highly organised and can manage several projects at same time.
Adaptable, fast thinking and conscientious.
Excellent attention to detail.
Locations, Hours, and Benefits
Full time, working 40 Hours per week, Monday to Friday
Based in HFL Head Office, Denton
