Main duties of the job
Main Duties for the Role
* Ensure the efficient running of the appointment system. Be aware of the flow of patients into consulting rooms and advise patients regarding any potential delays.
* Help coordinate urgent on-the-day appointments for patients, either by assisting with online forms or walk-in emergencies.
* Explain practice systems (e.g., how to book an appointment/make an enquiry) to new patients and those seeking temporary cover.
* Respond to all queries and requests for assistance from patients and visitors.
* Participate in Care Navigation, signposting patients to appropriate healthcare services such as Pharmacy First or UTC.
* Keep reception and waiting areas clean, neat, and tidy. Report cleaning needs to external cleaners and maintenance issues to the caretaker.
* Take and process new patient registrations.
* Safely take samples from patients following the Sample Handling protocol.
* Handle payments and set up online user accounts.
* Assist patients with disabilities to access our services.
* Familiarize yourself with appointment systems used in the practice and Primary Care Network appointments.
* Book appointments for long-term condition recalls as per patient needs.
* Act as a chaperone during medical procedures (full training provided).

* Provide a point of contact for patients and act as a key communication link between patients, clinicians, and staff.
* Deliver efficient and courteous reception and administrative services.

Person Specification
Qualifications
* Educated to at least GCSE grades C+ or equivalent.
* NVQ Level 2 in Customer Service (desirable).
* Experience in healthcare or office environment (desirable).
* Good communication skills, IT proficiency, and ability to work flexibly and confidentially.

This post is subject to a DBS check under the Rehabilitation of Offenders Act (Exceptions) Order 1975.
£12.21 to £12.38 an hour, increasing to £12.38 after a 6-month successful probation period.
