Role Purpose The main purpose of this role is to manage the end-of-tenancy and pre-void property process to make sure properties are relet quickly, efficiently, and in line with legal and contractual requirements. This will involve working closely with the outgoing customer, planning and co-ordination of required inspections, liaison with Property and Lettings teams. The aim of the role is to improve customer service, re-let quickly, have no former customer debt created, reduce void costs, and to maintain high standard of property condition and safety. Key Responsibilities: Customer liaison and End-of-Tenancy Arrangements: Liaise with the vacating tenant to arrange an end-of-tenancy visit once Notice has been given. Carry out an inspection of the property, record any outstanding repairs, discuss and agree final rent payments, and identify any potential recharge items. Provide advice on clearance packages and additional support services (e.g. post redirection). Agree a date for key handover Customer Communication: Maintain contact with the outgoing customer throughout the notice period. Provide a tailored move-out guide and a countdown checklist to support a smooth and informed transition. This will include any actions required before the customer leaves the property, e.g. surveyor visit, void works supervisor visit, asbestos check, etc. Void Property Planning: Assess the feasibility of completing any void works with a new customer in situ, where appropriate. Notify void contractor of the expected void date and coordinate with any relevant internal teams (e.g. Damp and Mould, Estate Services, Planned Maintenance.) Confirm the property layout (e.g. first-floor flat with no lift access) with Lettings Consultants to ensure accurate information is provided for marketing purposes Utility and Security Coordination: Where necessary, arrange for Gas Services to attend on the check-out day to cap the supply. Schedule a locksmith to change the property locks on the same day Final Check-Out Visit: Confirm and attend the final day check-out appointment to ensure the property is vacant and all keys, including communal access keys / fobs, are returned. Ensure all relevant teams are notified upon handover so that the property can be officially passed to void works contractor and the tenancy appropriately ended on the housing management system and any other relevant systems, including forwarding address Rent and Re-charges: If there is any charges likely to be owed by the tenancy end date make an agreement for debt to be cleared or pass to Income Team’s relevant officer. If any costs are to be re-charged take the relevant photographic evidence and pass to the relevant admin team to complete invoicing and re-charge process in housing management system Property Access and Meter Readings: Install a key safe / lock box. Locate all meters, take readings, and note their locations for the new customer Homeguide Reletting Support: Take a property video to assist Lettings Consultants with marketing and relet efforts. Also advise them of any other anomalies with the property and meter locations Health and Safety: Promote and ensure adherence to health and safety regulations, creating a safe working environment and proactively addressing risks and hazards More about you: Educated to GCSE level or equivalent in Maths and English (Grades A C) A housing or property qualification – such as one from CIH / IRPM – or prepared to work towards Social housing and tenancy management – Experience of working within a social housing environment, and a sound understanding of housing legislation, tenancy types (e.g. secure, assured, introductory), and end-of-tenancy obligations Excellent communication and interpersonal skills – Demonstrable experience of ability to engage effectively and sensitively with customers, colleagues, and contractors, both verbally and in writing Excellent organisational skills – Demonstrable experience of ability to manage multiple priorities, schedule appointments, and meet deadlines in a fast-paced environment, with changing timeframes and deadline dates Customer-focused approach – Demonstrable experience of providing a supportive and informative service to customers Void property processes – Preferably a minimum of six months experience of working the void property process, but must have a clear understanding of the void management procedures, including void turnaround, key handover, and minimising void rent loss Whatever the role, we want you to bring your knowledge and experience to play your part in improving people’s lives.
