We are looking for someone to provide comprehensive support to our Managing Directors and their teams within one of our business units. You’ll play a key role in ensuring smooth operations, managing schedules, facilitating internal communications, and providing vital administrative support. If you are a detail-oriented, proactive individual with strong organizational skills and a passion for supporting others, this role offers you the chance to develop in a fast-paced, international environment.
How you will contribute
* Scheduling & Coordination: Manage the Managing Directors' calendars, organize meetings, and ensure efficient communication across teams.
* Project & Event Support: Assist in setting up projects and coordinating internal and external events.
* Financial Administration: Process incoming invoices, prepare time and expense reports, and raise client invoices.
* Travel & Logistics: Coordinate travel arrangements, including flights, accommodations, and transportation.
* Onboarding Support: Work closely with HR to assist with the onboarding of new team members, and act as their first point of contact.
* CRM & Marketing: Support marketing initiatives by tracking activities using Salesforce.
Qualifications
* Some prior experience in an administrative or executive assistant role, ideally supporting senior professionals
* Strong interpersonal skills, with the ability to handle sensitive and confidential information with discretion
* Excellent communication skills (both written and verbal), fluency in German and English
* Organizational talent, with the ability to manage multiple priorities, tight deadlines, and shifting tasks with ease
* Proactive, solution-oriented mindset with a desire to make a meaningful impact
* Comfort working both independently and as part of a collaborative team
* Proficiency in MS Office and familiarity with Salesforce is a plus
