Administrator (0.1 FTE, Fixed-Term until 31 August )

The Royal College of Art is the UK’s only entirely postgraduate institution of art and design, dedicated to teaching, research and knowledge exchange with industry. We are seeking a highly organised and motivated Administrator to provide dedicated support for the Scoring Warnings project, an AHRC-funded initiative within the School of Arts & Humanities. This is a part-time position (0.1 FTE) offered on a fixed-term contract until 31 August .

The Role

The Administrator will provide high-quality administrative and organisational support to the Principal Investigator and project team, ensuring the smooth running and delivery of Scoring Warnings. The role will involve:

1. Coordinating project activities, events, meetings and communications.

2. Supporting reporting requirements, including data collation, financial monitoring and database management.

3. Liaising with internal and external stakeholders, including Communications, Registry, Finance and external partners.

4. Maintaining accurate records, filing systems and project information across platforms such as PURE, Zotero and GIS databases.

5. Providing clerking and minute-taking for project management meetings.

6. Managing travel bookings, purchase orders, expenses and casual worker/guest lecturer payments via RCA systems (Agresso, iTrent).

7. Assisting with the project’s online and external presence, including website and intranet updates, and supporting outreach and engagement activities.

This role offers the opportunity to gain valuable insight into school-wide administration while contributing to a high-profile research project that brings together interdisciplinary collaboration, external engagement and innovative research practices.

Person Specification

Essential:

8. Educated to degree level (or equivalent).

9. Proven administrative experience in a busy, customer-focused environment.

10. Strong organisational skills with the ability to prioritise and manage a varied workload.

11. Excellent accuracy, attention to detail and problem-solving skills.

12. High level of digital literacy and proficiency with Microsoft Office or Google for Work (email, calendar, spreadsheets, databases).

13. Experience of maintaining databases and an understanding of information security and data protection principles.

14. Experience using financial management software such as Agresso.

15. Excellent written and verbal communication skills with the ability to engage effectively at all levels.

16. Ability to use initiative, work collaboratively and maintain high customer service standards.

Desirable:

17. Experience of working in higher education.

18. Minute-taking and diary management skills.

19. Knowledge of HR/Payroll systems (iTrent), CRM databases (Raiser’s Edge), or financial systems (Agresso).

20. An interest in contemporary art, design and culture.
