Our Legal Support Property team is recruiting for a Team Assistant to join the team in our Manchester office. The role provides administrative and file management support across the team. Work will come either directly from the fee earner or through the work allocated by the Practice Assistants. The role is accountable for establishing and maintaining an ongoing service-based relationship with the team they support, recognising and translating the needs and expectations into a responsive service.
Key Responsibilities:
1. Liaise with PA to support Client & Marketing activities, including scheduling meetings, directory interviews, and client training.
2. Maintain and update Interaction system with prospects, clients, contacts, activities, and business development info.
3. Ensure knowledge of client-specific protocols and incorporate into practices.
4. Manage files—updating, maintaining, and ensuring correct filing and naming conventions (both electronic and paper).
5. Handle file opening and closing, setting up matters on relevant systems, and ensuring compliance during archiving.
6. Assist in organising internal and external events, seminars, and conferences, including delegate registration, travel bookings, and material preparation.
7. Order promotional goods and manage stock levels.
8. Make room and taxi bookings, organise deliveries, courier requests, and other ad hoc tasks.
9. Support high-volume document tasks like printing, copying, and scanning.
10. Coordinate workload with team members to meet deadlines.
11. Answer internal calls for team members.
12. Take direction from your PA and PSM, and assist with billing and expenses as required.
13. Manage priorities to meet deadlines, liaising with PA and PSM when challenges arise.
14. Create and upload information to client data rooms as instructed.
15. Produce court bundles according to instructions and court rules, ensuring correct preparation and delivery.
16. Verify accuracy of client and internal data.
17. Ensure compliance with firm policies, including Lexcel and Information Security.
18. Handle post and emails, ensuring client correspondence is properly filed.
19. Attend team meetings and liaise with fee earners and practice assistants for work instructions.
20. Update service users on progress and offer assistance proactively.
Technical Skills Required:
* Relevant office-based administrative experience.
* Experience with document and case management systems.
* Intermediate proficiency in Microsoft Office.
