At Gist, our Health, Safety and Environment function exists to ensure every colleague can go home safe and well every day.
We’re building a modern HSE function focused on real-world risk, practical improvement and strong leadership. Accurate reporting matters — but it starts with well-managed data, consistent processes and strong day-to-day administration.
We’re looking for an HSE Administration & Reporting Lead to act as the backbone of the central HSE team, ensuring HSE information is collected, maintained, coordinated and reported accurately across the network.
The opportunity
This role sits at the centre of the HSE function, ensuring that information, records and reporting are accurate, timely and well-governed.
You’ll coordinate HSE data and administrative activity across multiple sites, acting as a key point of control for HSE reporting, assurance activity and documentation. While reporting forms part of the role, the emphasis is on maintaining strong foundations — ensuring the right data is captured, validated and presented consistently.
This role is ideal for someone who enjoys organisation, structure and ownership, and who takes pride in keeping complex systems running smoothly.
What’s in it for you?
This is a role with autonomy, variety and clear purpose.
You’ll benefit from:
1. Ownership of HSE administration and reporting processes across the network
2. A central role supporting compliance, assurance and audit activity
3. Close working relationships with HSE and operational teams
4. The opportunity to standardise, simplify and improve administrative processes
Alongside this, we offer:
5. 20% M&S discount on most things from furniture, fashion and food
6. 25 days’ annual leave plus bank holidays (rising with length of service)
7. Attractive annual bonus scheme linked to M&S performance and personal objectives
8. Auto-enrolment pension or competitive Defined Contribution Pension Scheme and life assurance (up to 4x salary)
9. Discounted healthcare cash plan
10. Access to wellbeing support, including our Employee Assistance Programme
11. Ongoing development opportunities
12. Cycle to work scheme
Location: Based at any UK site, with periodic travel across the network
Your impact
As HSE Administration & Reporting Lead, you’ll be responsible for the effective management, coordination and reporting of HSE information across the business.
You’ll:
13. Coordinate and maintain HSE data, records and reports from sites across the network
14. Act as the central point of control for HSE reporting, ensuring consistency and accuracy
15. Validate and quality-check HSE information before submission or publication
16. Produce routine HSE reports for internal stakeholders and external requirements
17. Support assurance, audit and compliance activity through accurate documentation and reporting
18. Maintain reporting calendars, submission timelines and governance standards
19. Identify opportunities to improve administrative processes, templates and controls
About you
You’re highly organised, methodical and detail-focused, with experience in administrative or coordination roles that involve managing complex information.
You’ll bring:
20. Strong administrative experience managing data, records or reporting processes
21. Excellent attention to detail and a structured approach to work
22. Confidence working with Excel and standard reporting tools
23. Ability to manage deadlines, submissions and competing priorities
24. Clear communication skills and confidence liaising with multiple stakeholders
Desirable:
25. Experience producing routine reports or dashboards
26. Exposure to HSE, compliance or risk environments
27. Experience working in multi-site or operational organisations
