ADMINISTRATION ASSISTANT - KINNEIL

About The Role

Reporting to the Plant Manager, the post holder will provide comprehensive administration support various departments across the Kinneil asset.

What does the day to day look like?

Provide general secretarial/administration support to Team Leaders.
Act as a first point of contact for both internal and external people wishing to contact the Team Leaders, ensuring queries are dealt with effectively, and take initiative to identify and handle problems / issues that arise on behalf of the manager.
Ensure the procedure review register is up to date, report on progress and arrange signatories.
Upload procedures to Agility or other electronic storage system.
Produce documents (including presentations and spreadsheets).
Act as a source of information on administrative issues, providing relevant information and support to others as required. Establish, maintain and identify potential improvements to working practices and procedures to enhance efficiency, cost-effectiveness and productivity.
In conjunction with HR, administer the training admin process.
Enablon system administration.
Raise WONs and purchase orders within Maximo.
Self-verification management and communication.
Process financial / administrative information as required (e.g., invoices, expense claims, budgets) checking and validating information for completeness and investigating errors / discrepancies.
Provide holiday cover for wider administration team.
Produce and monitor Monthly costs reports/spend and receipts in SAP
Kinneil Amenities Building owner – Raise FP's and monitor and track repairs to end

what do I need?

HNC or equivalent in Business Administration or minimum of 5 years site working experience.
Strong IT skills including MS Office packages and internal systems such as Traction, Alfresco and Maximo.
Knowledge of site policies and procedures.
An outgoing and confident disposition with excellent team working and networking skills with peers, managers and external contacts.
Ability to work with minimal supervision, under pressure and intelligently to assess and anticipate the requirements of the Leadership Team.
Ability to prioritise incoming material and to anticipate the managers' requirements and determine what can be actioned or referred in their absence.
Maintain confidentiality of highly sensitive information.
Planning and Organisation Skills.
Ability to persuade and influence.

Application Process

Formal Interview
