Job Overview
This post holder will be responsible for supporting the administration and development of the student recruitment process primarily for postgraduate programmes but will also support undergraduate admissions. This will include organising and delivering admissions workshops and/or interviews nationally and internationally, maintaining relevant databases, and dealing with admissions enquiries, whether by post, e-mail, over the phone, or in person. This post holder will support the Admissions and Registry Manager in ensuring the registry function of the school is efficient, effective, and timely, ensuring that University of the Arts (UAL) are kept informed of changes and that data is current and accurate.
DBS Check
Please note that this position requires the post holder to have an Enhanced DBS Check no more than three years old and/or be signed up to the DBS Annual Update Service in line with the terms our DBS Policy.
Salary & Contract Terms
Salary
The full-time equivalent salary for this position is £31,214 per annum, equating to £15,607 per annum for this part-time position. Salaries are reviewed in August each year when any cost-of-living increases are made. No salary changes are made until after successful completion of a probationary period.
Contract Terms
This is a fixed-term contract, ending 31 July 2026. This is a part-time position (equivalent to 20 hours per week). These hours are inclusive of a one-hour paid lunch break each day. Your hours of work will be agreed with the line manager. During the six-month probationary period the notice period will be two weeks. Once this period is successfully completed the post holder will be confirmed in the post and the notice period will be six weeks.

We anticipate that interviews will be conducted on Tue 30 Sep 2025 either in person at The Place or remotely via Microsoft Teams (or similar platform as necessary). Interview dates may be subject to change.
Person Specification
Essential Criteria
* Knowledge: Awareness of confidentiality requirements and the need for discretion/tact.
* Skills: Highly developed administration skills.
* Software: Confident user of computers and applications including Microsoft Office, Virtual Learning Environments, space/timetabling systems and databases.
* Experience & Qualifications: Educated to degree level, equivalent further education training, or relevant professional experience.
* Attributes: Keen attention to detail; ability to work as part of a small, busy team, as well as autonomously; organised and motivated, with the ability to work to deadlines; commitment to continuing professional development.
Desirable Criteria
* Experience in Arts or Education Administration, preferably in a higher education context.
* Experience devising tailor-made database systems and updating them as appropriate.
* Experience working with admissions workshop procedures.
* Willingness to use own initiative.
Key Responsibilities
Administration
* Support the Admissions and Registry Manager to arrange the admissions workshop cycle, working around term dates and any other events.
* Process postgraduate application forms and support undergraduate applications, including inputting and filing online applications and references, and arranging interviews and admissions workshops.
* Support with securing studios for UK admissions workshops and coordinate with Timetable and Assessment Coordinator to schedule musicians.
* Identify candidates requiring a Student Route visa and refer to the Admissions and Registry Manager.
* Assist with the fresher Facebook page for UG and PG who have accepted offers and coordinate with Accommodation Support Workers.
* Support Marketing with recruitment marketing activities for postgraduate courses as needed.
* Collaborate with Marketing to collate information for Postgraduate Newsletters/emails.
* Manage acceptance and enrolment lists for postgraduate courses and advise Senior Management on projected student numbers.
* Assist in planning and running in-person and online Open Days and offer holder sessions; assist with registration processes each term.
* Manage the Admissions email inbox.
Admissions Workshops
* Coordinate admissions workshops and/or interviews for postgraduate courses, including invitations to candidates.
* Ensure reasonable adjustments are in place for candidates requiring them at workshops or interviews.
* Support undergraduate workshop panels, and prepare related paperwork.
* Ensure workshops run smoothly and in line with health and safety guidelines.
* Maintain concise acceptance and reserve lists.
* Arrange travel and accommodation for overseas workshops and prepare paperwork for panel; direct inquiries as necessary.
Student Ambassadors
* Support recruitment of Student Ambassadors from the current student cohort, including development of application material, interview procedures, and selection criteria.
* Support the ambassador programme, assisting with induction week, open days, and workshop assistance.
* Organise third-year undergraduates to sit in on undergraduate admissions workshops and manage related payroll/papers.
* Supervise ambassadors and delegate tasks such as welcoming candidates and answering questions about LCDS.
General Duties
* Contribute to School Office activities during peak demand and cover absences by prioritising workload.
* Fulfil other responsibilities as determined by the Head of Widening Participation and Recruitment.
* Help monitor the LCDS inbox.
