Job summary
The Administrator role at Practice Plus Group Surrey Out of Hours and central to ensuring smooth operational and clinical support services. Working closely with managers, supervisors, and the wider team, the postholder provides efficient day‑to‑day administration including diary coordination, meeting support, and minute‑taking. Responsibilities include managing patient records, monitoring call reports, and overseeing prescription distribution to guarantee timely service delivery. The role also supports purchase orders, invoicing, and supplier relationships, while assisting with recruitment processes and maintaining training records. Administrators are expected to manage office systems, IT data input, and stock control, ensuring seamless communication across teams. This is a full‑time role, based on site in Dorking. This position requires excellent organisational skills, attention to detail, and the ability to balance multiple priorities, contributing to the delivery of high‑quality patient care and operational excellence within the Surrey Out of Hours and CAS service.
Main duties of the job
* Support the Quality & Patient Engagement Manager and Operations Manager with required admin tasks.
* Provide admin assistance for all special projects and meetings.
* Produce the slide deck for the monthly IUC Quality Assurance Meeting and take the minutes of the meeting.
* Collate and disseminate the service monthly audit scores within set timescales.
* Undertake minute taking when requested by a supervisor or manager.
* Carry out general office administration, including telephone reception, filing, printing and scanning.
* Assist line managers with sharing information to colleagues (e.g., sharing of Colleague Wellbeing initiatives, Special events).
* Maintain the CAS & OOH patient amalgamations and report queue.
* Assist with Clinician recruitment.
Essential qualifications and experience
* Proven background within an Administration role.
* GCSE level (or equivalent) including Maths and English.
* Strong experience using basic IT systems – Excel, Word, Outlook and database.
* Ability to work under pressure, maintaining accuracy and attention to detail.
* Experience working in a healthcare setting – GP Practice, OOH, UTC or Hospitals (desirable).
